Job Title: Executive, Student Experience & One Stop Centre

Job Purpose:
Under the general supervision of the Head of Student Experience, the Executive of Student Experience & One Stop Centre is responsible for providing frontline support and services to students, ensuring a seamless experience throughout their academic journey. The role involves managing student enquiries, coordinating student-related activities, and supporting the university’s efforts to enhance student satisfaction, engagement, and retention.
Key Responsibilities:
1. Student Services & One Stop Centre Operations
- Serve as the first point of contact for students, guardians, and visitors at the One Stop Centre.
- Handle walk-in, phone, and email enquiries related to admissions, registration, fees, academic records, and general student services.
- Coordinate with relevant departments (Registrar, Finance, Academic, etc.) to resolve student issues effectively and efficiently.
- Maintain accurate records of enquiries, feedback, and resolutions for reporting purposes.
- Support implementation of digital platforms, ticketing systems, and service workflows to improve service delivery.
2.Student Experience & Engagement
- Plan, organize and execute the student engagement programs, events, and activities that enhance student experience.
- Support student clubs, societies, and activities by facilitating processes and liaising with the Student Experience team.
- Collaborate with internal and external stakeholders to design initiatives that promote student well-being, inclusivity, and a sense of belonging.
- Gather and analyze student feedback to recommend improvements in services and experiences.
- Contribute to student retention initiatives by proactively identifying at-risk students and directing them to appropriate support channels.
- 3.Communication & Continuous Improvement
- Draft, review, and disseminate student-related announcements, notices, and communications across platforms.
- Contribute to the design of FAQs, knowledge bases, and self-service materials for students.
- Participate in training and professional development to stay updated on best practices in student services.
- Proactively recommend process improvements, innovative solutions, and service enhancements to improve the student journey.
- Build and maintain positive relationships with students to foster trust and strengthen the overall student-university relationship.
4.Administrative, Reporting & Compliance
- Prepare periodic reports on enquiries, issues, and resolutions for management review.
- Assist in documentation of policies, guidelines, and standard operating procedures (SOPs) related to student services.
- Maintain confidentiality of student records and personal data in line with PDPA and university regulations.
5.Other Key Responsibilities
- Provide support during university events such as Open Day, Orientation, Convocation, CSR programs, and other student-focused initiatives.
- Assist in coordinating logistics and resources for student activities and institutional programs.
- Undertake any ad-hoc assignments, tasks, or projects as directed by the Head of Student Experience & One Stop Centre.
- Actively contributes to a positive work culture and upholds the university’s values in daily interactions with students and staff.
- Represent the department in meetings, committees, and working groups when required.
Key Performance Indicators (KPIs):
- Timeliness and accuracy in handling student enquiries, complaints, and escalations at the One Stop Centre
- Compliance with service-level agreements (SLAs), institutional policies, and PDPA requirements
- Effectiveness of student engagement initiatives, measured by participation rate and feedback outcomes
- Accuracy and timeliness of reports, records, and documentation related to student services and experience
- Active support and participation in institutional events, campaigns, and orientation/convocation activities
Qualifications:
- Bachelor’s Degree in Education, Business Administration, Communication, Psychology, or related field.
- Minimum 1–3 years of working experience in student services, customer service, or administrative support (preferably in higher education).
- Experience handling frontline services, enquiries, or stakeholder engagement is an advantage.
- Strong interpersonal and communication skills (verbal and written) with the ability to engage effectively with students and stakeholders.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and tech-savvy.
- Willingness to work flexible hours, including evenings or weekends, during peak academic or student activity periods.

Pay: RM2,600.00 - RM3,500.00 per month
