Project Administration
- Provide administrative support to the Project Manager and project team throughout the project lifecycle.
- Prepare and maintain project correspondence, reports, meeting minutes, presentations, and other project documentation.
- Maintain an organised filing system for project documents (electronic and hard copy).
- Track project schedules, deadlines, and administrative deliverables.
- Coordinate meetings, prepare agendas, and distribute meeting minutes.
Manpower Coordination & Documentation
- Coordinate manpower mobilisation and demobilisation for project personnel.
- Prepare and maintain manpower deployment schedules and workforce records.
- Ensure all personnel documentation is complete before site mobilisation, including identification documents, medical certificates, competency certificates, training records, and client-required documentation.
- Coordinate site access applications, security passes, inductions, and mandatory training requirements.
- Maintain records of employee attendance, timesheets, overtime, leave, and daily manpower reports.
- Liaise with HR, Operations, and clients regarding manpower requirements and personnel availability.
- Monitor the validity of certifications, licences, and training records to ensure workforce compliance.
Document Control
- Register, issue, distribute, and archive project documents, drawings, procedures, and reports.
- Maintain document revision status and ensure only current versions are used.
- Compile project close-out documents and handover dossiers.
- Ensure all project records comply with company and client document control procedures.
Procurement & Logistics Support
- Assist in preparing purchase requisitions and tracking purchase orders.
- Coordinate delivery of project materials, equipment, and consumables.
- Arrange travel, accommodation, transportation, and logistics for project personnel.
- Support equipment mobilisation and demobilisation documentation.
Financial & Reporting Support
- Prepare and verify timesheets, expense claims, and supporting documentation.
- Assist with invoice processing and project cost tracking.
- Prepare daily, weekly, and monthly project administration and manpower reports.
- Maintain accurate records of project expenditures and administrative activities.
Communication & Coordination
- Act as the primary administrative liaison between project teams, clients, subcontractors, and internal departments.
- Respond to enquiries and ensure timely communication of project information.
- Support project coordination to ensure administrative activities are completed efficiently.
- Maintain confidentiality of company and project information.
Job Type: Full-time
Pay: From RM2,300.00 per month
Ability to commute/relocate:
- Kuala Terengganu: Reliably commute or planning to relocate before starting work (Preferred)
Education:
- Diploma/Advanced Diploma (Preferred)
