Job Description

Responsibilities

Responsibilities:

Recruitment & Onboarding/Offboarding

  • Assist in recruitment processes including posting job openings, application screening interview scheduling, and reference checks
  • Manage end-to-end onboarding and offboarding procedures, ensuring all documentation complies with internal policies and audit requirements
  • Maintain employee records in HRIS systems (Workday & HRiQ) and handle issuance of staff passes
  • Coordinate pre-employment medical checkups, mandatory health assessments, audiometry tests and annual health screenings
  • Utilize data analytics to track recruitment metrics such as time-to-fill, source effectiveness, and onboarding satisfaction

HR Operations

  • Document management throughout the employee lifecycle including recruitment, confirmations, terminations, transfers, and contract management
  • Prepare HR-related correspondence such as employment letters, visa support letters, and staff certifications
  • Attend employee inquiries related to HR matters excluding compensation
  • Ensure organizational charts and job descriptions are regularly updated
  • Provide backup support for other HR functions such as recruitment, training, payroll and benefits administration
  • Assist HR projects and employee engagement initiatives
  • Apply data analytics to monitor HR operational efficiency, identify trends and support decision making

Learning & Development

  • Support training activities including course registration, coordination with training providers and timely completion of evaluations
  • Organize and facilitate training sessions, workshops and other learning initiatives
  • Maintain accurate training records, track participation, and evaluate training effectiveness
  • Provide logistical support for learning activities, including scheduling, venue arrangements and participant communications
  • Administer and track training bond agreements
  • Use data analytics to assess training impact and identify skill gap

Administration

  • Manage day-to-day office operations and ensure the smooth running of office activities
  • Manage office supplies, vendor relationships, and facility maintenance
  • Coordinate travel arrangements and hotel reservation
  • Perform other ad-hoc duties as assigned
  • Support reporting and analysis of administrative costs and resource usage using basic data too

Requirements:

  • Diploma in human resources or related discipline, with 1 to 2 years of relevant HR experience preferred
  • Strong organizational and time management skills, with the ability to prioritize tasks and work effectively under pressure
  • Proficiency in MS Office applications
  • Excellent command of spoken and written English
  • Experience in multi-media would be advantageous
  • Strong knowledge in Employment act, industrial relations act, CPF guidelines, tax treatment guidelines, govt. Polices etc
  • Knowledge in Personal Data Protection Act (PDPA) and in HRIS system and applications preferred
  • Ability to collect and interpret HR data to support decision-making
  • Understanding of basic HR metrics (e.g. turnover rate, training effectiveness)
  • Familiarity with data visualization tools (e.g. Power BI, Power Automate) is a plus
  • Willing to travel to work in Jurong Island
