Job Purpose
The Operations Assistant is responsible for coordinating daily logistics operations, ensuring the smooth movement of shipments, and providing operational support for cross-border logistics activities. The role requires close coordination with customers, transporters, customs authorities, and internal departments to ensure timely and compliant delivery of shipments.
Key Responsibilities
- Coordinate and monitor daily logistics and transportation activities.
- Handle import and export shipment documentation and operational processes.
- Liaise with customers, transport providers, warehouse personnel, customs brokers, and government agencies.
- Monitor shipment status and provide timely updates to customers and Management.
- Coordinate cross-border logistics operations between Singapore, Malaysia, and other countries where applicable.
- Prepare, verify, and maintain shipping documents, delivery orders, invoices, permits, and customs documentation.
- Ensure compliance with Singapore Customs regulations and other relevant statutory requirements.
- Assist in customs clearance processes and resolve shipment or documentation issues promptly.
- Coordinate with warehouse and transport teams to ensure on-time collection and delivery of cargo.
- Maintain accurate operational records and update internal systems.
- Investigate shipment delays and implement corrective actions where necessary.
- Support the Operations Department in achieving service quality, productivity, and customer satisfaction targets.
- Perform any other duties assigned by Management.
Requirements
- Diploma in Logistics, Supply Chain Management, Business Administration, or a related field.
- Minimum 2 years of working experience in logistics, freight forwarding, shipping, or transportation operations.
- Good knowledge of cross-border logistics operations, particularly between Singapore and Malaysia.
- Familiarity with Singapore Customs procedures, import and export documentation, permits, and customs clearance requirements.
- Knowledge of shipping documentation, including Delivery Orders (DO), Bill of Lading (BL), Air Waybill (AWB), Commercial Invoice, Packing List, and Customs Declaration.
- Experience using logistics or freight management systems is an advantage.
- Good understanding of Incoterms and freight forwarding processes is preferred.
- Strong communication and coordination skills.
- Ability to work under pressure and manage multiple priorities.
- Proficient in Microsoft Office applications (Excel, Word, Outlook).
- Able to work independently and as part of a team.
Pay: $1,500.00 - $2,000.00 per month
