Responsibilities

Club Administration Manager – Job Description

Position: Club Administration Manager

Role Summary:
The Club Administration Manager is responsible for overseeing the club's daily administrative operations, ensuring efficient office management, regulatory compliance, staff coordination, customer service standards, and smooth operational support across all departments.

Key Responsibilities:

  • Manage the club's day-to-day administrative operations.

  • Supervise administrative staff and coordinate work schedules.

  • Maintain accurate employee records, attendance, leave, and personnel documentation.

  • Prepare operational reports, management reports, and business correspondence.

  • Coordinate with management regarding licensing, compliance, and regulatory requirements.

  • Ensure all company records, permits, and administrative documents are properly maintained.

  • Assist in recruitment, onboarding, and staff administration.

  • Coordinate with finance on invoices, petty cash, payroll documentation, and operational expenses.

  • Handle customer feedback, enquiries, and administrative support where required.

  • Liaise with suppliers, contractors, and external service providers.

  • Organize meetings, prepare minutes, and follow up on management decisions.

  • Monitor office inventory, procurement, and administrative resources.

  • Support event planning and operational coordination for club activities.

  • Ensure company policies, workplace safety requirements, and internal procedures are followed.

  • Perform any other administrative and operational duties assigned by senior management.

Requirements:

  • Bachelor's Degree or Diploma in Business Administration, Management, Hospitality, or a related field.

  • Strong organizational and administrative skills.

  • Excellent communication and interpersonal abilities.

  • Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint).

  • Ability to manage multiple tasks in a fast-paced environment.

  • Strong problem-solving and decision-making skills.

  • Experience in hospitality, entertainment, F&B, or club operations is an advantage.

Reporting To:
General Manager / Operations Director

Working Environment:
Office and club operations, including weekends, evenings, and public holidays when operationally required.
