Are you organized, detail-oriented, and enjoy keeping records accurate and projects running smoothly? We are looking for an enthusiastic PDD Admin Assistant (Project Development Department) to support our team through proper document control, project coordination, and administrative support.
This role offers an excellent opportunity to gain hands-on experience in project development administration, project document control, and office administration while working closely with the Project Development and Project Coordination Teams.
Key Responsibilities
Daily Document Control & Administration
- Document Control: Establish, maintain, and systematically organize all physical and digital project files (e.g., drawings, correspondence, site diaries, and variation orders).
- Correspondence Tracking: Log, track, and distribute all incoming and outgoing project mail, emails, and official transmittals to ensure nothing gets lost.
- Meeting Support: Assist the Project Coordinator Executive in scheduling site and progress meetings, managing calendar invites, and distributing finalized meeting minutes.
- Administrative Liaison: Act as the central point of contact for routing contractor and consultant queries to the appropriate project team members.
- Office Maintenance: Manage department stationery and printing supplies, and ensure project documentation folders are kept up to date.
Monthly Tracking & Report Compilation
- Report Compilation: Collate data, and updates from the Project Coordinator Executive to assist in assembling monthly progress and financial reports.
- Claim Tracking: Assist in tracking and filing contractor progress claims, invoices, and payment certificates for manager review.
- Schedule & Budget Support: Input updated timeline data and expense figures provided by the Project Coordinator Executive into master tracking sheets.
Project & Tender Support (As Required)
- Tender & Contract Support: Assist in compiling, photocopying, binding, and filing tender documents and contract packages.
- Authority Approvals: Maintain a tracker of all submission statuses with local authorities and organize required paperwork/drawings for submission.
- Ad-Hoc Tasks: Carry out special administrative assignments as directed by the Department Manager or requested by the project team.
Line of Reporting
- Reports directly to the Project Development Team / Manager.
- Works in close cooperation with and provides administrative support to the Project Coordinator Executive.
- Liaises with internal staff, consultants, contractors, and suppliers on administrative and documentation matters.
Requirements
- Diploma or Degree in Business Administration, Project Management, Real Estate, Construction Management, or a related field (Relevant experience in lieu of degree is welcome).
- Proven experience or strong interest in administrative support within project development, construction, or engineering sectors.
- Excellent organizational skills with strong attention to detail in document control and physical/digital filing.
- Good communication and interpersonal skills to liaise effectively with consultants, contractors, and internal teams.
- Proficient in Microsoft Office applications (Word, Excel, Outlook).
- Detail-oriented, responsible, and able to manage multiple project tasks and deadlines.
- Ability to maintain accurate tracking logs and handle project information professionally.
- Able to work independently as well as part of a collaborative project team.

Pay: RM1,700.00 - RM2,000.00 per month
