Responsibilities

SUMMARY

Under direction of Group Chief Executive Officer, responsible for providing administrative and project

support to the CEO and Leadership. Performs various administrative tasks including, but not limited to, drafting and sending correspondence, creating reports and presentations, managing calendars, scheduling meetings, travel arrangements, and event planning.


JOB RESPONSIBILITIES

  1. Provide comprehensive administrative and executive support to the CEO, ensuring the efficient execution of key responsibilities, strategic initiatives, and day-to-day operations.
  2. Research, prioritize, and follow up on issues and concerns, including those of a highly sensitive and confidential nature, ensuring timely resolution and appropriate escalation where necessary.
  3. Maintain strict confidentiality of all personal, corporate, and proprietary information, exercising sound judgment in determining the appropriate course of action, referrals, and responses.
  4. Attend executive, management, Board, and cross-functional meetings to accurately record, prepare, and distribute meeting minutes, monitor action items, and maintain organized records of meeting documentation.
  5. Prepare, edit, proofread, and format correspondence, reports, presentations, operational documents, and other business materials with a high level of accuracy and professionalism.
  6. Coordinate and execute special projects and strategic initiatives as assigned by the CEO and/or the Leadership Team, ensuring timely completion and quality deliverables.
  7. Manage the booking and scheduling of executive conference rooms and meeting facilities, ensuring all required technology and resources are available and functioning.
  8. Conduct research, compile and analyze data, and prepare standard and ad hoc reports, dashboards, charts, and presentations to support business decision-making.
  9. Collaborate with internal departments to gather, verify, and consolidate information, ensuring the accuracy and completeness of reports and documentation.
  10. Provide administrative and logistical support for Board of Directors and Board Committee meetings, including preparing agendas, presentation materials, meeting packs, travel arrangements, expense claims, and other related documentation.
  11. Maintain and organize Board records, corporate documents, information manuals, media contacts, vendor databases, and stakeholder contact lists, ensuring records are current and easily accessible.
  12. Manage incoming calls, correspondence, and visitors professionally, serving as a key point of contact and providing front office support when required.
  13. Perform other duties and responsibilities as assigned by the CEO or the Leadership Team in support of organizational objectives.


QUALIFICATIONS

  1. Bachelor's Degree in Business Administration, Management, Corporate Administration, or a related discipline. Equivalent combinations of education and relevant work experience will also be considered.
  2. Minimum of 3 years of experience as an Executive Assistant, Personal Assistant, or in a similar executive support role, preferably supporting C-suite executives or senior management.
  3. Excellent verbal and written communication, interpersonal, organizational, and time management skills, with the ability to manage multiple priorities in a fast-paced environment.
  4. Strong business acumen with the ability to read, analyze, and interpret business documents, reports, presentations, contracts, and correspondence.
  5. Demonstrated ability to handle highly confidential and sensitive information with professionalism, integrity, and sound judgment.
  6. Highly organized, proactive, and resourceful, with excellent problem-solving skills and the ability to work independently with minimal supervision.
  7. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace. Experience with presentation and design tools such as Canva, Piktochart, or similar platforms is an added advantage.
  8. Experience in preparing Board papers, meeting minutes, executive reports, and presentation materials is highly preferred.
  9. Strong attention to detail with the ability to produce high-quality work under tight deadlines.
  10. Willingness to travel locally or outstation and work beyond normal office hours when required to support business or Board-related activities.
