JOB PURPOSE / OBJECTIVE
This role serves as a critical support function to the Head of Operations, Kenanga Capital Sdn. Bhd., in overseeing and monitoring all aspects of loan administration and operational activities.
The incumbent is responsible for ensuring that all loan administration and operational processes are executed in accordance with approved terms and conditions, while maintaining compliance with internal and Group policies and procedures, as well as all applicable laws, regulations, rules, and guidelines.
The role also supports operational risk management, client servicing, regulatory compliance, and continuous process improvement initiatives to ensure operational efficiency and business continuity.
KEY RESPONSIBILITIES
1. Credit Administration, Operations & Client Relationship Management
1.1 Loan Administration & Operations
- Coordinate and undertake supervisory functions to support the day-to-day operations of the full post-disbursement process while ensuring that all relevant processes and procedures remain current, effective, and compliant.
- Act as an independent checker for Letters of Offer, loan agreements, and security documentation to ensure compliance with approved terms and conditions, internal policies, and regulatory requirements prior to disbursement.
- Monitor and oversee loan disbursement activities to ensure transactions are processed accurately and within stipulated timelines.
- Review daily operational reports, bank reconciliations, and cash flow management reports to ensure operational accuracy and completeness.
- Monitor margin portfolio positions and ensure proper administration of payment, remittance, cancellation, and related operational processes.
1.2 Client Servicing & Stakeholder Management
- Co-administer customer complaints jointly with designated front-office personnel and ensure prompt resolution in accordance with established service standards.
- Liaise and collaborate with internal stakeholders, external solicitors, auditors, bankers, system vendors, and other financial institutions on operational and administrative matters.
- Provide operational support and guidance to internal and external stakeholders to ensure seamless service delivery.
1.3 Security Documentation Management
- Monitor and administer the recording, deposit, safekeeping, withdrawal, and maintenance of security documentation.
- Ensure document retention practices comply with PDPA requirements, AML/CFT regulations, and internal record management policies.
1.4 Repayment Administration
- Administer all loan repayment processes, including collection of outstanding and overdue payments, loan redemption, and early settlement arrangements.
- Monitor repayment performance and escalate delinquent accounts where appropriate.
1.5 Compliance & AML/CFT
- Conduct ongoing AML/CFT monitoring and perform designated person responsibilities relating to anti-money laundering and counter-financing of terrorism requirements.
- Coordinate and report suspicious transactions to Group Financial Crime Supervision and other relevant authorities in accordance with regulatory requirements.
1.6 Reporting
- Prepare and assist in the compilation of operational, statistical, and management reports for Management Committees, Board Committees, regulators, and external stakeholders.
- Manage reporting exceptions and ensure timely escalation of operational issues.
1.7 Project Management
- Support operational projects, system initiatives, and process enhancement exercises.
- Undertake additional duties and responsibilities as assigned by management from time to time.
2. Business Process Management
- Provide regular feedback and recommendations to the Head of Operations on operational matters, process improvements, and risk mitigation initiatives.
- Escalate operational issues promptly and proactively follow up on corrective actions to ensure compliance with policies and procedures.
- Perform first-level review and checking of operational transactions and documentation.
- Participate in loan application system enhancements, user acceptance testing (UAT), process automation initiatives, and system implementation projects.
- Identify opportunities to streamline workflows, improve controls, and enhance operational efficiency.
3. Policy, Procedure & Control Management
- Conduct periodic reviews of credit administration policies, procedures, and operational processes to ensure they remain current, relevant, and effective.
- Assess the adequacy of operational controls and recommend improvements where necessary.
- Assist in monitoring and implementing agreed action plans arising from audits, compliance reviews, risk assessments, and management directives.
- Ensure all agreed action items are completed within established timelines.
JOB REQUIREMENTS
Qualifications
- Bachelor's Degree in Banking, Finance, Accounting, Business Administration, Economics, Law, or a related discipline.
- Professional qualifications or certifications in banking, risk management, compliance, AML/CFT, or operational management would be an added advantage.
Experience
- Minimum 8 years of relevant working experience in banking, financial services, credit administration, loan operations, or related operational functions.
- Experience in corporate lending, structured financing, margin financing, or treasury-related operational activities would be advantageous.
- Proven experience in managing loan documentation, disbursement, repayment administration, and security documentation.
- Hands-on experience in regulatory compliance, AML/CFT monitoring, and operational risk management.
Knowledge & Technical Competencies
- Strong knowledge of credit administration, loan operations, and post-disbursement processes.
- Good understanding of Bank Negara Malaysia regulations, AML/CFT requirements, PDPA, and relevant regulatory guidelines.
- Familiarity with loan documentation, security documentation, and legal documentation requirements.
- Proficient in Microsoft Office applications and banking/loan management systems.
- Strong analytical, reporting, and problem-solving capabilities.
