The Logistics Executive is responsible for planning, coordinating, and monitoring the movement of materials, equipment, and other project-related items from suppliers and warehouses to solar PV project sites. The role ensures timely delivery, proper documentation, cost-effective transportation, and compliance with company, safety, and environmental requirements.
KEY RESPONSIBILITIES
1. Logistics Planning & Coordination
- Plan and coordinate transportation of materials, equipment, and project-related items to solar PV project sites.
- Schedule deliveries according to project timelines and site requirements.
- Coordinate closely with Project, Procurement, Warehouse, and other relevant departments to ensure timely material availability.
- Monitor delivery status and provide updates to relevant stakeholders.
- Identify and resolve transportation and delivery issues promptly.
- Coordinate urgent or ad-hoc deliveries based on project requirements.
2. Documentation & Compliance
- Prepare and manage Delivery Orders (DO), transport documents, and other logistics-related documentation.
- Maintain accurate and up-to-date logistics records, including delivery schedules, trip records, and transportation documents.
- Ensure logistics activities comply with company policies, procedures, and ISO requirements.
- Support documentation preparation for internal and external audits, including IPO due diligence.
- Ensure proper documentation and traceability of materials delivered to project sites.
3. Vendor & Transport Management
- Liaise with transporters, logistics providers, and other vendors to arrange transportation services.
- Source and coordinate suitable transportation based on project requirements, load type, destination, and delivery schedule.
- Evaluate logistics vendors based on cost, delivery performance, reliability, and service quality.
- Negotiate transportation rates and service terms where appropriate.
- Monitor transporter performance and address delivery or service issues promptly.
- Maintain good working relationships with logistics vendors and transport partners.
4. Cost Control & Reporting
- Monitor and track transportation and logistics expenses.
- Review transportation charges and supporting documents for accuracy.
- Recommend cost-saving initiatives and improvements to logistics processes.
- Optimize delivery routes, transportation arrangements, and truck utilization.
- Minimize unnecessary trips, waiting time, and transportation costs.
- Prepare monthly logistics cost and performance reports for management review.
5. Warehouse & Inventory Coordination
- Coordinate with the Warehouse team to ensure materials are prepared and available according to delivery schedules.
- Support the movement and tracking of materials between suppliers, warehouse, and project sites.
- Ensure proper documentation for material dispatch and receipt.
- Monitor delivery quantities and coordinate with relevant departments on discrepancies, damages, or missing items.
- Support inventory tracking and reconciliation where required.
6. Health, Safety & ESG
- Ensure safe loading, transportation, unloading, and handling of materials and equipment.
- Ensure transporters comply with applicable health, safety, and environmental requirements.
- Promote safe logistics practices at warehouses and solar PV project sites.
- Support the company's environmental, sustainability, and ESG initiatives.
- Promote waste reduction, efficient transportation, and responsible logistics practices.
- Report any logistics-related safety, environmental, or compliance issues to the relevant department.
REQUIREMENTS
- Candidate must possess at least a Diploma or Bachelor's Degree in Logistics, Supply Chain Management, Business Administration, or any related field.
- Minimum 2 years of working experience in logistics, warehouse, supply chain, transportation, or project coordination.
- Fresh graduates with relevant internship experience are encouraged to apply.
- Experience in construction, engineering, renewable energy, solar PV, or project-based industries will be an added advantage.
- Able to communicate effectively in Bahasa Malaysia and English, with good teamwork and interpersonal skills.
- Good knowledge of inventory control, warehouse operations, transportation coordination, and logistics documentation.
- Basic knowledge of Microsoft Office, particularly Excel and Word, and logistics/ERP systems is an added advantage.
- Strong planning, analytical, organizational, and problem-solving skills.
- Good attention to detail and ability to manage multiple deliveries and priorities.
- Able to work independently as well as collaboratively in a fast-paced project environment.
