Job Summary
We are looking for a detail-oriented Contract Administration Executive to support the administration and management of contracts throughout the project lifecycle. The role will ensure proper documentation, contract compliance, coordination, and timely processing of contractual matters.
Key Responsibilities
- Manage and maintain contract documents, agreements, correspondence, and project records.
- Assist in the preparation, review, and administration of contracts, purchase orders, and related documents.
- Monitor contractual obligations, key milestones, deliverables, and expiry dates.
- Coordinate with internal departments, clients, contractors, consultants, and suppliers on contract-related matters.
- Assist in processing variations, extension of time (EOT), claims, payment certificates, and other contractual submissions.
- Prepare and track contract correspondence, notices, submissions, and approvals.
- Ensure contractual documents and records are properly maintained and updated.
- Monitor compliance with contractual terms, project requirements, and agreed timelines.
- Assist in reviewing quotations, invoices, claims, and supporting documents against contractual requirements.
- Prepare contract status reports, trackers, and other management reports.
- Follow up on outstanding contractual matters and ensure timely resolution.
- Assist the project and commercial teams in identifying potential contractual risks and issues.
- Ensure proper filing and retrieval of contract-related documentation.
- Perform other contract administration and project-related duties as assigned.
Requirements
- Diploma or Degree in Business Administration, Contract Management, Quantity Surveying, Construction Management, or a related field.
- 1–3 years of relevant experience in contract administration, preferably in construction, utilities, engineering, or infrastructure.
- Good understanding of contract documentation and administration processes.
- Strong documentation, coordination, and organisational skills.
- Proficient in Microsoft Office, particularly Excel and Word.
- Good communication and interpersonal skills.
- Detail-oriented with good follow-up and time-management skills.
- Able to work independently and coordinate with multiple stakeholders.
- Knowledge of construction contracts, claims, variations, and EOT will be an added advantage.
Pay: RM2,500.00 - RM4,000.00 per month
