We're looking for an organised and proactive HR & Admin Executive to support our growing business. This role is ideal for someone who enjoys coordinating people, maintaining systems, and ensuring day-to-day HR operations run smoothly.

What You'll Be Responsible For

This role plays an important part in ensuring our HR and administrative processes remain organised, compliant and efficient. You'll work closely with the management team while independently managing the day-to-day administration of recruitment, employee records, attendance, payroll support and HR documentation.

As the company grows, you'll have opportunities to contribute to process improvements, new HR initiatives and organisational development projects.

Job Responsibilities

Recruitment & Hiring

  • Coordinate interviews, assessments and trial sessions.
  • Liaise with candidates throughout the recruitment process.
  • Screen applications and maintain recruitment records.
  • Prepare employment contracts and onboarding documentation.

Employee Administration

  • Maintain accurate employee records and HR databases.
  • Coordinate onboarding and offboarding activities.
  • Ensure employee documentation is complete and properly filed.
  • Monitor probation timelines and prepare review reminders.

Attendance, Leave & Payroll Administration

  • Monitor daily attendance and leave records using HR systems.
  • Follow up on attendance discrepancies and missing records.
  • Prepare attendance adjustments and payroll supporting documents.
  • Verify payroll information and maintain payroll trackers.

HR Documentation & Compliance

  • Prepare HR letters, memos and employment-related documentation.
  • Maintain HR policies, SOPs and document versions.
  • Track staff acknowledgements and mandatory documentation.
  • Support compliance with company policies and employment requirements.

Administrative Support

  • Coordinate meetings, interviews and training schedules.
  • Maintain departmental trackers, reports and filing systems.
  • Assist with internal projects and company initiatives.
  • Provide general administrative support to the management team.

Qualifications

  • Diploma or Degree in Human Resource Management, Business Administration or a related discipline.
  • At least 2–3 years of relevant HR experience, preferably in a generalist or HR operations role.

Knowledge & Experience

  • Good working knowledge of Singapore employment legislation, including the Employment Act and MOM regulations.
  • Familiarity with HR best practices relating to recruitment, onboarding, attendance, leave administration, payroll and employee documentation.
  • Experience supporting payroll administration and HRIS platforms (e.g. Payboy or equivalent).
  • Experience drafting HR documentation, policies and employment-related correspondence.
  • Strong understanding of HR record keeping, confidentiality and statutory compliance.

Skills

  • Excellent organisational and time management skills.
  • Strong attention to detail and accuracy.
  • Able to work independently with minimal supervision.
  • Strong interpersonal and written communication skills.
  • Comfortable recommending process improvements and identifying compliance risks.
  • Proficient in Google Workspace and Microsoft Office.

Work Arrangement

This role offers a flexible work arrangement with the opportunity to work from home on selected days, subject to operational requirements and management approval.

As part of supporting a multi-outlet business, the successful candidate should also be comfortable travelling to our various locations across Singapore when required for interviews, onboarding, investigations, meetings, training, or other operational matters.

Flexibility is an important part of this role, and we value individuals who are able to work independently while remaining responsive and adaptable to business needs.

Salary

S$2,300 – S$3,000 (commensurate with experience)
