• Work location: Sembawang (North Region), 5.5 days.

Responsibilities

• Provide administrative support to the project/site team.
• Maintain staff deployment records, contact lists, and organization charts.
• Prepare monthly site manpower and administrative reports.
• Manage document control, filing systems, registers, logs, and version control.
• Administer Project SharePoint and ISO document filing systems.
• Schedule meetings and prepare meeting minutes.
• Coordinate procurement and inventory of PPE, stationery, equipment, and software.
• Handle HR administration, including staff attendance, biometrics, onboarding, and offboarding.
• Support audits, quality reviews, and compliance documentation.

Requirements

• Diploma in Business Administration or a related discipline.
• Minimum 2–3 years of experience in Project Administration/Document Control/Site Administration.
• Experience in the construction, engineering, infrastructure, or consultancy industry is preferred.
• Experience supporting project teams, site personnel, or technical departments is an advantage•
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
• Familiarity with ISO filing systems and structured document control practices
• Knowledge of biometric attendance systems, access systems, or HR admin tools
• Experience with LTA InSight (advantage for Singapore transport projects)
• Strong organizational skills with the ability to manage multiple registers, logs, and documentation streams
• Ability to maintain structured filing systems, version control, and audit-ready documentation
• High attention to detail and accuracy in documentation
