The Role

The role provides efficient operational and administrative support to the Operations team. If appointed, you will coordinate shipping documentation, vessel licensing processes, vendor registrations, courier arrangements and other operational support activities to help ensure smooth and timely business operations.

Key responsibilities include:

• Process and coordinate Domestic Shipping License (DSL) applications for vessels.
• Prepare and issue Bills of Lading (BLs) for Ship-to-Ship (STS) operations in coordination with the Operations team.
• Print and distribute Bills of Lading and ensure their timely delivery.
• Arrange courier services, including DHL, Lalamove and other logistics providers.
• Monitor and track incoming and outgoing courier shipments and coordinate with the Operations team to ensure timely delivery.
• Track incoming bunker samples and coordinate dispatch arrangements.
• Manage supplier onboarding and vendor registration activities.
• Handle vendor registration processes for clients and maintain accurate documentation records.
• Manage hotel credit facilities, including renewals and maintenance of approved credit arrangements.
• Provide administrative and operational support to branches across Malaysia.
• Undertake additional operational responsibilities in line with business requirements and professional development.

What We're Looking For

Qualifications & Experience

• Diploma / Advanced Diploma / Higher Diploma / Degree in Shipping, Maritime Studies, Logistics, Supply Chain Management, Business Administration or a related discipline.
• Fresh graduates are encouraged to apply.
• Prior internship or working experience in shipping, logistics, maritime operations or administrative support will be an advantage.
• Good command of English and Bahasa Malaysia, both written and spoken.

Skills & Attributes

• Proficient in Microsoft Office applications, particularly Excel, Word and Outlook.
• Strong communication and interpersonal skills.
• Excellent organizational and time management abilities.
• High attention to detail and ability to handle documentation accurately.
• Ability to work independently as well as collaboratively within a team environment.
• Basic knowledge of shipping, logistics, maritime operations or documentation processes would be an advantage.
• Ability to manage multiple tasks and deadlines in a fast-paced environment.
• Strong problem-solving, coordination and follow-up skills.
• Positive attitude with a willingness to learn and take on new responsibilities.
