Responsibilities
The Opportunity:
We are looking for a Training & Event Coordinator to support the planning and execution of training programs and events for our Independent Business Owners (IBOs) or agents.
This is a hands-on coordination role where you will work closely with IBOs, speakers, internal stakeholders, and external vendors to ensure training sessions and events are well-organized and delivered smoothly.
You will be involved throughout the entire event cycle — from agents registration and WhatsApp communication, training preparation and venue coordination, vendor management, on-site execution, to post-event wrap-up.

How You'll Make an Impact:
1. IBO or Agents Communication & Training Registration
Manage IBO or agent registration, RSVP, attendance confirmation, and participant lists for training programs and events.
Communicate directly with IBOs and leaders through WhatsApp, email, and other communication channels regarding training/event schedules, venue information, registration, reminders, and event updates.
Respond to IBO enquiries and provide accurate information on training schedules, locations, registration procedures, and event arrangements.
Maintain accurate and up-to-date IBO databases and attendance records.
2. Training & Event Planning
Coordinate the end-to-end logistics for agents training sessions, workshops, meetings and other network activities.
Prepare training and event schedules, checklists, participant lists, materials, and operational requirements.
Coordinate with internal stakeholders from other departments to ensure all requirements are aligned.
Work closely with speakers to understand and coordinate their training requirements.
Arrange training materials, presentation equipment, registration counters, signage, refreshments, and other event necessities.
Ensure all training and event requirements are prepared according to the approved plan and timeline.
3. Venue & Vendor Coordination
Coordinate with venues and internal teams on room setup, seating arrangements, AV equipment, registration areas, signage, stage setup, and other facilities.
Liaise with external vendors for catering, printing, event setup, equipment, production, and other event-related services.
Coordinate catering arrangements based on confirmed IBO attendance and program requirements.
Follow up with vendors on delivery schedules, setup requirements, service quality, and invoices.
Conduct pre-event checks to ensure the venue and facilities are ready before the program starts.
Resolve last-minute venue or vendor issues efficiently to minimize disruption to the event.
4. On-Site Training & Event Execution
Be present on-site to coordinate the registration, venue setup, training flow, and overall event operations.
Manage the registration counter and ensure smooth check-in and attendance recording for agents.
Monitor the event flow and respond promptly to any operational issues or last-minute changes.
5. Post-Event Activities
Coordinate event dismantling, packing, collection, and return of equipment and materials.
Ensure all event materials, equipment, and supplies are properly accounted for and stored.
Reconcile attendance against registration records and prepare final participant lists.
Collect and consolidate training/event feedback where required.
6. Administrative & Operational Support
Prepare reports and analyse registration and attendance data using Excel.
Support other training, event, and agent engagement activities as assigned.
What We're Looking For:
Diploma/Degree in Event Management, Hospitality, Business Administration, Marketing, Communications, or a related field is preferred.
Minimum 1–2 years of experience in event coordination, training coordination, customer engagement, hospitality, or a similar role.
Experience coordinating training programs, workshops, seminars, corporate events, or large-scale events is an advantage.
Good interpersonal and communication skills, with the ability to effectively engage and coordinate with IBOs or agents, speakers, internal stakeholders, and external vendors through WhatsApp and other communication channels.
Proficient in Microsoft Office, particularly Excel; knowledge of VLOOKUP/XLOOKUP and Pivot Tables is an advantage.
Comfortable working in a fast-paced and people-oriented environment.
Willing to work on weekends and outside normal working hours when required.
Willing to travel for events when required.
Work location: Bukit Jalil (nearby Pavilion Bukit Jalil)
Working days: Monday to Friday (10am – 7pm)
