Job Overview
We are seeking a proactive and well-organised Operations Support Coordinator to support our Australian customer service and technical operations in Sungrow.
This role is responsible for monitoring customer request queues, coordinating administrative and operational activities, and ensuring urgent cases are promptly escalated to the Technical Lead. The successful candidate will also provide support in inventory coordination, warranty logistics, invoicing, service rebate processing, reporting and internal process improvement.
Key Responsibilities
Customer Enquiries and Request Management
- Manage incoming customer enquiries through email, phone, ticketing systems and other designated communication channels.
- Provide prompt and professional support to residential and commercial solar customers in the Australian market.
- Monitor incoming requests across the Key Account Group, Voice Queue and Ticket Queue.
- Prioritise and allocate emails, tickets and tasks to ensure timely completion.
- Assign service tickets accurately to the appropriate technical or operational team.
- Follow up on outstanding requests to minimise delays and unnecessary escalations.
Queue Monitoring and Escalation
- Identify urgent, unattended, missed or potentially overdue customer requests.
- Promptly notify the Technical Lead when immediate intervention or resource coordination is required.
- Ensure critical cases are handed over smoothly to the appropriate support team.
- Monitor case progress and follow up with relevant stakeholders until the required action has been taken.
Inventory, Warranty and Logistics Support
- Process pick slip bookings and inventory receipts.
- Coordinate stock movements related to solar installations, warranty claims and service activities.
- Process warranty logistics submissions and ensure all required supporting documents are complete.
- Maintain accurate inventory, warranty and logistics records.
Invoicing and Service Rebate Support
- Assist with invoice preparation and service rebate processing.
- Validate service rebate submissions for accuracy and completeness.
- Upload, organise and maintain relevant financial and operational documentation.
- Liaise with the relevant teams to resolve incomplete or inaccurate submissions.
Process Improvement and Team Collaboration
- Assist in reviewing and improving internal administrative and operational procedures.
- Identify opportunities to improve workflow efficiency, reduce errors and shorten turnaround times.
- Work closely with the Technical Service, Operations and Logistics to ensure smooth end-to-end service delivery.
- Perform other related administrative and operational duties as assigned.
Qualifications and Skills
- Diploma or bachelor’s degree in Business Administration or a related field is preferred.
- At least 1–2 years of relevant experience in operations support, customer service, administration, logistics or a similar role.
- Strong organisational and time-management skills, with the ability to manage multiple requests and priorities.
- Good judgement in assessing urgency and escalating matters appropriately.
- Clear and professional English written and verbal communication skills.
- Strong attention to detail and commitment to maintaining accurate records.
- Familiarity with customer support systems, ticketing platforms, inventory systems or is an advantage.
- Able to work independently while collaborating effectively with cross-functional teams.
