Job Summary

We are seeking a proactive, highly organised Part-Time Administrative Executive Assistant to provide comprehensive administrative and operational support to the leadership team, ensuring efficient daily operations and contributing to strategic initiatives.

Responsibilities

  • Manage and coordinate executive calendars, appointments, meetings, and events to optimise time management and operational efficiency
  • Arrange meeting invitations, prepare agendas, and coordinate schedules with internal and external stakeholders to facilitate seamless communication
  • Monitor deadlines, reminders, and follow-ups to ensure timely completion of key priorities
  • Provide comprehensive administrative support to leadership across daily operations, projects, and business initiatives
  • Prepare accurate and professional correspondence, reports, presentations, and business documents to support decision-making
  • Maintain organised records, documentation, and filing systems while safeguarding confidentiality
  • Conduct research and gather relevant information to prepare concise reports and briefing materials that support strategic planning
  • Compile and analyse data from multiple sources to enable informed discussions and operational planning
  • Coordinate with internal departments and external stakeholders to ensure smooth day-to-day operations
  • Execute ad hoc administrative assignments and special projects as required
  • Identify and implement opportunities to improve administrative processes and enhance operational efficiency

Preferred competencies and qualifications

  • Diploma or higher qualification preferred
  • Proficient in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook
  • Strong organisational and time management skills to manage multiple priorities in a fast-paced environment
  • Ability to work independently with minimal supervision, demonstrating initiative, accountability, and sound judgement
  • Excellent verbal and written communication skills to interact professionally with stakeholders at all levels
  • Strong planning, coordination, and follow-through abilities to ensure accurate and timely task completion
  • High level of discretion when handling confidential information
