Job Summary
The Project Admin Executive cum Document Controller is responsible for providing project administration and document control support throughout the property development and construction process, ensuring proper documentation, coordination, reporting, authority submissions, and project records are maintained accurately and efficiently.
Key Responsibilities
- Manage project documentation, including correspondence, drawings, reports, submissions, approvals, certificates, and contracts.
- Maintain Master Document Register, drawing registers, correspondence registers, submission/approval trackers, and document transmittals.
- Ensure proper revision control and circulation of the latest approved project documents.
- Coordinate with project managers, consultants, contractors, authorities, and internal departments on project documentation and administrative matters.
- Follow up on authority submissions, approvals, permits, licences, and statutory requirements.
- Coordinate project meetings and prepare Minutes of Meeting (MOM) and action trackers.
- Prepare and update weekly/monthly project reports, progress updates, trackers, and management reports.
- Monitor project deadlines, submissions, approvals, deliverables, and outstanding matters.
- Maintain records of contracts, consultant appointments, Variation Orders, EOTs, claims, certificates, and other project documents.
- Assist with project tendering, contract administration, audits, handover, and project close-out documentation.
- Maintain electronic and physical filing systems and ensure proper document security and confidentiality.
- Perform other duties assigned by Management.
Job Requirements
- Diploma / Bachelor’s Degree in Business Administration, Project Management, Construction Management, Property Management, Engineering, Architecture, or related disciplines.
- Minimum 3 years of relevant experience in property development, construction, project administration, document control, or related field.
- Experience with a property developer, construction company, project management consultant, or consultancy firm is an advantage.
- Experience in project documentation, document control, correspondence, drawing registers, project reports, meeting minutes, and project records is highly preferred.
- Experience liaising with government agencies, local councils, statutory authorities, utility providers, consultants, contractors, and other project stakeholders is an advantage.
- Familiar with authority submissions, approvals, document tracking, and project documentation from planning/design through construction, completion, handover, and close-out.
- Proficient in Microsoft Office, particularly Word, Excel, PowerPoint, and Outlook.
- Familiar with document management systems, Microsoft Project, AutoCAD viewing software, or project management systems is an advantage.
- Good command of spoken and written English and Bahasa Malaysia.
- Strong organizational, administrative, documentation, coordination, and follow-up skills with excellent attention to detail.
- Able to work independently, manage multiple deadlines, maintain confidentiality, and communicate professionally with project stakeholders.
Pay: RM2,000.00 - RM3,000.00 per month
