1. JOB PURPOSE
To supervise and coordinate daily warehouse operations, ensuring the efficient receiving, storage, handling, inventory control, and distribution of food, beverages, packaging materials, equipment, and other operational supplies while maintaining food safety, hygiene, accuracy, and compliance with company procedures.
2. KEY RESPONSIBILITIESA. Warehouse Operations
- Supervise daily warehouse activities, including receiving, checking, storing, picking, packing, and issuing goods.
- Ensure all incoming goods are properly checked against Purchase Orders, Delivery Orders, invoices, and approved specifications.
- Ensure goods are stored in the appropriate locations according to product requirements.
- Organise and maintain an efficient warehouse layout to maximise storage capacity and accessibility.
- Ensure proper stock rotation using FIFO (First In, First Out) and FEFO (First Expired, First Out) where applicable.
- Monitor the movement of stock between the warehouse, central kitchen, and outlets.
- Ensure all goods issued are properly recorded and authorised.
B. Inventory Management
- Monitor daily stock levels and ensure sufficient inventory is maintained for restaurant and operational requirements.
- Conduct regular stock counts and participate in monthly stock take.
- Investigate and report discrepancies between physical stock and system records.
- Monitor damaged, expired, short-dated, or obsolete stock and ensure appropriate action is taken.
- Maintain accurate inventory records and documentation.
- Monitor high-value, high-usage, and critical items closely to prevent stock shortages.
C. Food Safety & Quality Control
- Ensure all food products are stored according to required temperature and storage conditions.
- Monitor chilled, frozen, and dry storage areas regularly.
- Ensure food products are properly labelled with receiving dates, expiry dates, batch numbers, and other required information where applicable.
- Ensure expired, spoiled, contaminated, or damaged food items are segregated and reported immediately.
- Maintain high standards of warehouse cleanliness, hygiene, and pest control.
- Ensure warehouse operations comply with company food safety and hygiene procedures.
D. Receiving & Inspection
- Supervise the receiving of food, beverages, packaging, cleaning materials, and other supplies.
- Check quantity, quality, condition, expiry dates, packaging integrity, and temperature of food products where applicable.
- Reject or report goods that do not meet company specifications.
- Ensure discrepancies or damaged goods are properly documented and communicated to the relevant department.
- Ensure all receiving documentation is properly completed and filed.
E. Team Supervision
- Supervise, guide, and monitor Warehouse Assistants and other warehouse personnel.
- Allocate daily duties and manpower according to operational requirements.
- Monitor staff attendance, punctuality, productivity, discipline, and work performance.
- Train employees on proper warehouse procedures, stock handling, hygiene, safety, and company SOPs.
- Conduct regular briefings to communicate daily tasks, operational requirements, and issues.
- Provide feedback and performance recommendations to management when required.
F. Stock Issuance & Distribution
- Coordinate the preparation and distribution of stock to restaurants, central kitchen, and other company locations.
- Ensure all stock requests are properly authorised before goods are issued.
- Verify quantities before dispatching goods.
- Coordinate delivery schedules and ensure goods are delivered to the correct destination.
- Ensure proper handling of food and other sensitive products during loading and transportation.
G. Documentation & Reporting
- Maintain accurate records for receiving, issuing, transferring, returning, and disposing of stock.
- Prepare daily, weekly, and monthly warehouse reports as required.
- Monitor inventory movement and provide stock-related information to management and Finance.
- Report stock shortages, excess stock, damaged goods, wastage, and discrepancies promptly.
- Maintain proper filing of Delivery Orders, Goods Received Notes, stock transfer documents, and other warehouse records.
H. Cost & Loss Control
- Monitor stock wastage, damages, expiry, and unnecessary losses.
- Implement proper controls to minimise stock shrinkage and unauthorised usage.
- Monitor stock consumption patterns and highlight unusual variances.
- Assist management in identifying opportunities to reduce warehouse and inventory costs.
I. Health & Safety
- Ensure warehouse employees follow workplace safety procedures.
- Ensure proper use of PPE and handling equipment where required.
- Maintain clear and safe access to storage areas, walkways, emergency exits, and loading areas.
- Report accidents, hazards, equipment damage, and unsafe practices immediately.
- Ensure proper handling and storage of chemicals and cleaning materials.

The Warehouse Supervisor may be evaluated based on:
- Inventory accuracy
- Stock variance percentage
- Stock wastage and expiry rate
- Receiving accuracy
- Order fulfilment accuracy
- Timeliness of stock distribution

- Warehouse cleanliness and hygiene
- Food safety compliance

- Accuracy and timeliness of warehouse reports

4. QUALIFICATIONS & EXPERIENCE
- Minimum Diploma in Warehouse Management, Logistics, Supply Chain, Business Administration, F&B Management, or related field.
- Minimum 2–3 years of relevant warehouse experience, preferably within the Food & Beverage, restaurant, central kitchen, or food distribution industry.
- Experience supervising warehouse staff is preferred.
- Knowledge of inventory management and stock control procedures.
- Knowledge of FIFO/FEFO and food storage requirements.
- Computer literate and familiar with Microsoft Excel or inventory management systems.
- Good communication, leadership, organisational, and problem-solving skills.

6. AUTHORITY & ACCOUNTABILITY
The Warehouse Supervisor is responsible for ensuring that all warehouse activities are conducted accurately, safely, efficiently, and in accordance with company policies and SOPs. Any significant stock discrepancy, loss, food safety issue, or operational risk must be immediately reported to the relevant manager.
7. WORKING CONDITIONS
- May be required to work in dry, chilled, and frozen storage areas.
- May be required to work weekends, public holidays, or according to operational requirements.
- May be required to work extended hours during stock take, deliveries, peak periods, or urgent operational requirements.
- May be required to travel between outlets, central kitchen, warehouse, or other company locations when necessary.
Pay: RM2,500.00 - RM3,000.00 per month
