Role Overview
The Operations Executive is responsible for the day-to-day operational management of IT systems and software platforms, ensuring smooth system operations, effective project implementation, and timely resolution of operational issues.
The role involves coordinating with clients, users, internal teams, technology vendors, and other stakeholders to ensure systems are operating effectively and project implementations are delivered according to agreed requirements.
Candidates with experience in IT operations, software implementation, project coordination, or operational environments will be highly preferred. Experience in the logistics, port, terminal, shipping, or related industries will be an added advantage.
Salary Range: RM3,500 – RM4,000 (depending on experience)
Key Responsibilities
Operations & System Management
- Serve as a primary point of contact for clients and internal stakeholders regarding system-related issues, operational matters, and user inquiries.
- Monitor system performance and proactively identify operational risks, incidents, or service degradation.
- Coordinate with internal technical teams and external vendors to ensure timely resolution of system issues.
- Participate in operational and coordination meetings with clients and relevant stakeholders to provide updates on system performance, incidents, and operational readiness.
- Act as the Major Incident Manager when required, coordinating resolution efforts, stakeholder communication, and updates during critical system outages or service disruptions.
- Ensure operational activities are carried out in accordance with agreed SOPs, service requirements, and compliance standards.
IT Project & Implementation Management
- Lead and coordinate system rollouts, upgrades, enhancements, and implementation activities.
- Act as the project coordinator between clients, users, internal technical teams, and vendors.
- Develop and maintain project plans covering scope, timelines, resources, dependencies, and risks.
- Track project milestones, deliverables, and implementation progress to ensure timely completion.
- Coordinate User Acceptance Testing (UAT), deployment activities, and post-implementation support.
- Maintain project documentation, including implementation plans, change logs, incident reports, meeting minutes, and post-implementation reports.
- Provide regular project status updates and escalate key issues or risks to management.
Infrastructure, Integration & Stakeholder Management
- Coordinate the maintenance and optimization of IT infrastructure, software applications, network connectivity, and system integrations.
- Support integration between company systems, client platforms, and third-party solutions.
- Work closely with clients, technology vendors, service providers, and internal teams to ensure effective implementation and system operations.
- Monitor vendor and service provider performance and follow up on service delivery and SLA requirements.
- Build and maintain strong working relationships with clients and stakeholders.
- Support business and operational teams in identifying system improvements and digitalisation opportunities.
Requirements
- Experience in operations, IT operations, project coordination, or a related field.
- Experience coordinating software implementation, system rollouts, upgrades, UAT, or digital transformation projects.
- Strong stakeholder management, communication, coordination, and documentation skills.
- Strong problem-solving and incident management skills.
- Ability to multitask, prioritise tasks, and manage operational issues in a fast-paced environment.
- IT knowledge or technical background will be an added advantage.
- Experience in the logistics, port, terminal, shipping, or other operational industries will be an added advantage.
- Willingness to travel as required to support client operations and project deployments.
- Preferably available to start immediately.
