About the role
OneEmpower is hiring a Finance, HR & Admin Executive to support the Kuala Lumpur office. This is a generalist role covering day-to-day finance operations, HR administration and office administration for the KL team, reporting into the Group Finance and HR functions in Singapore. You will be the local point of contact for finance, people and office matters, working independently with minimal supervision while staying closely aligned with Group processes and standards. This is a hands-on, cross-functional role suited to someone comfortable managing varied responsibilities, adaptable to changing processes, and confident liaising with Group stakeholders based outside Malaysia.
Key responsibilities
Finance
Perform day-to-day accounting activities for the KL entity, including data entry, invoice processing and expense claims.
Support accounts payable and accounts receivable, including invoicing, payment processing and reconciliation of local balances.
Maintain local billing, expense and payment trackers, and provide timely status updates to Group Finance.
Assist with month-end and year-end closing, including preparation of schedules and reconciliations.
Liaise with Group Finance and HR on reporting requirements, audit queries and process alignment.
Ensure compliance with local statutory, tax and regulatory filing requirements, working with external agents where applicable.
HR & Admin
Support end-to-end HR administration for KL staff: onboarding, offboarding, contract preparation and personnel record maintenance.
Manage local payroll processing and ensure timely and accurate statutory contributions, levies and submissions, including EPF, SOCSO, EIS, PCB and HRD Corp levy.
Administer leave, claims and attendance records in line with Group HR policy.
Support local recruitment coordination — scheduling interviews, liaising with candidates and hiring managers.
Assist with performance management administration and employee engagement activities.
Ensure compliance with Malaysian employment law and flag any risk areas to Group HR.
Support travel arrangements, logistics and event coordination for the team
Maintain office records, contracts and administrative documentation.
Act as the local point of contact for office-related vendors and service providers.
Requirements
Degree in Accounting, Business Administration, Human Resources or a related discipline.
5 years' relevant experience in a generalist finance, HR or admin role; experience covering multiple functions preferred.
Working knowledge of Malaysian statutory requirements — payroll, EPF/SOCSO/EIS/PCB/HRD, employment law basics.
Strong Excel proficiency (PivotTables, VLOOKUP/XLOOKUP, SUMIFS) and comfort working with financial and HR data.
Familiarity with accounting (FACT ERP.NG) or payroll systems is an advantage.
High attention to detail, discretion with confidential information, and strong organisational skills.
Able to manage competing priorities independently and follow through to resolution with minimal supervision.
Good communication skills, comfortable liaising with Group stakeholders based in Singapore and other regional offices.
Adaptable and proactive; comfortable operating in a business undergoing process change and transformation.
Proactive mindset towards adopting AI and digital tools to improve efficiency in finance, HR and admin work.
Comfortable with technology use.
