Purpose of the Role:
The Project Engineering & Coordinator is responsible for providing overall coordination, administrative, and project management support for downstream projects. The role will assist the Manager, Project Coordination and project teams in planning, monitoring, documentation, reporting, and site coordination activities to ensure projects are executed effectively and in accordance with established requirements.
Key Accountabilities & Responsibilities
- Prepare and distribute daily/weekly project Minutes of Meeting (MOM) and monthly reports in a timely manner.
- Provide project management support for the planning, scheduling, monitoring, and progress tracking of projects.
- Ensure all project minutes of meetings, weekly reports, and monthly reports are accurately prepared and issued within the required timeline.
- Support the Head of Project in preparing project documents and reports required for key decision-making and management review.
- Support the Manager, Project Coordination in the implementation of the Project Execution Plan (PEP) and other day-to-day project coordination activities.
- Provide coordination and administrative support to project engineers on project-related matters as required.
- Coordinate and work closely with engineering, construction, procurement, HSE, operations, and other relevant departments across multiple disciplines.
- Assist with project documentation, records management, and safe keeping of project execution documents.
- Assist in developing, maintaining, and implementing flowcharts and procedures related to the Document Control function.
- Provide administrative and coordination support to project teams to facilitate smooth project execution.
- Participate in site inspections and project site activities when required.
- Monitor and follow up on project action items, deliverables, and outstanding matters arising from project meetings.
- Maintain proper filing and document control of project records in accordance with company requirements.
- Perform any other ad-hoc tasks, projects, or duties as assigned by the superior or management.
Qualifications & Requirements
- Bachelor’s Degree in Engineering, preferably Mechanical, Electrical, Chemical, or Civil Engineering.
- Approximately 2 years of relevant project engineering/project coordination experience is preferred.
- Proficient in Microsoft Word, Excel, and PowerPoint.
- Knowledge of project scheduling and progress monitoring.
- Good interpersonal, communication, and coordination skills.
- Strong organizational skills with the ability to multitask and manage priorities effectively.
- Responsible, proactive, detail-oriented, and willing to learn.
- Able to work independently as well as collaboratively within a multidisciplinary project team.
- Willing to perform site visits and undertake additional responsibilities when required.
- Support project documentation and maintain proper safekeeping of site project execution documents.
- Assist in creating and implement flowchart related to Document Control Function.
- Provide administrative support to project teams.
- Undertake any ad-hoc projects/duties assigned by the superior or management.
