Job Description

Responsibilities

Key Responsibilities

  • Document Control & Distribution: Manage and maintain the project’s Electronic Document Management System (EDMS), ensuring all incoming and outgoing documents (Drawings, RFIs, Method Statements, Material Submissions, etc.) are accurately registered, tracked, and distributed to relevant parties via formal transmittals.
  • Version Control: Ensure strict compliance with version control protocols. Promptly identify, stamp, and archive superseded documents to prevent the use of obsolete drawings or specifications on the construction site.
  • Quality Assurance (QA/QC Check): Review all incoming and outgoing documentation for compliance with project naming conventions, coding standards, formatting, signatures, and company templates before entry into the system.
  • Tracking & Expediting: Monitor document review statuses and proactively follow up with internal engineers, consultants, sub-contractors, and clients to ensure timely approvals and responses to RFIs and submittals.
  • Reporting: Generate regular document status reports, overdue matrices, and progress dashboards for the project management team.
  • Project Handover & Closeout: Organize, compile, and index final handover documentation, including As-Built drawings, Operation and Maintenance Manuals (O&MM), and warranties for project closeout.

Requirements

  • Diploma or Degree in Business Administration, Engineering, Construction Management, Project Management or a related discipline.
  • 1–3 years of experience in project planning, preferably in M&E construction or data centre projects.
  • Experience with project scheduling and progress monitoring.
  • Proficient in Microsoft Project and Microsoft Excel.
  • Knowledge of Primavera P6 will be an added advantage.
  • Good understanding of construction project activities, sequencing and scheduling.
  • Strong analytical and problem-solving skills.
  • Good communication and coordination skills.
  • Able to work independently and coordinate effectively with multiple project teams.
  • Able to work under pressure and meet project deadlines.
  • Willing to travel or be based at project sites when required.

Pay: RM2,500.00 - RM3,000.00 per month
