Senior Executive – Human Resources (HR Generalist)Job Summary

We are looking for a Senior Executive – Human Resources (HR Generalist) to oversee and manage day-to-day HR operations across the employee lifecycle.

The ideal candidate is independent, firm, proactive and hands-on, with the ability to manage HR matters with minimal supervision. This role requires someone who is confident in handling employees, resolving workplace issues, enforcing company policies and working closely with Management and Operations.

Key Responsibilities

HR Operations

  • Manage day-to-day HR operations and ensure HR policies, procedures and SOPs are properly implemented.
  • Maintain accurate and up-to-date employee records and HR documentation.
  • Handle employee onboarding, confirmation, transfers, resignations and offboarding.
  • Monitor attendance, leave, overtime and absenteeism.

Employee Relations & Discipline

  • Handle employee enquiries, grievances and workplace issues professionally.
  • Manage disciplinary matters, counselling, warning letters and investigations when required.
  • Ensure employees comply with company rules, policies and procedures.
  • Act as a trusted HR advisor to employees and Management.
  • Handle difficult employee situations with a firm but fair approach.

Recruitment & Manpower Planning

  • Manage the full recruitment cycle, from sourcing and screening to interview, selection and onboarding.
  • Work closely with hiring managers to understand manpower requirements.
  • Monitor recruitment progress, vacancies and manpower needs.
  • Support recruitment activities including job postings, walk-in interviews and career events.

Payroll & Attendance

  • Verify attendance, leave, overtime and payroll-related information.
  • Work closely with Payroll/Finance to ensure accurate and timely payroll processing.
  • Investigate and resolve discrepancies relating to attendance, leave and payroll.
  • Monitor attendance and overtime trends and highlight issues to Management.

Employee Welfare & Engagement

  • Support employee welfare, engagement and retention initiatives.
  • Coordinate HR activities, employee programmes and internal communications.
  • Address employee concerns and provide appropriate HR support.
  • Promote a positive, professional and disciplined working environment.

Training & Development

  • Coordinate training programmes and maintain training records.
  • Work with Management and relevant departments to identify training needs.
  • Support employee development and HR initiatives.

HR Compliance

  • Ensure HR practices are aligned with company policies and applicable employment requirements.
  • Maintain proper documentation for statutory, audit and internal HR purposes.
  • Liaise with relevant external parties, agencies and government authorities when required.

HR Reporting & Continuous Improvement

  • Prepare regular HR reports covering headcount, recruitment, turnover, attendance, overtime and employee matters.
  • Analyse HR trends and identify areas requiring improvement.
  • Recommend practical solutions to improve HR processes and employee management.
  • Take ownership of HR issues from identification through to resolution.

Requirements

  • Diploma/Degree in Human Resources, Business Administration or related field.
  • Minimum 3–5 years of relevant HR experience, preferably in a fast-paced or operational environment.
  • Strong knowledge of HR operations and employee relations.
  • Good understanding of Malaysian employment practices and statutory requirements.
  • Strong communication and interpersonal skills.
  • Good problem-solving and decision-making abilities.
  • Proficient in Microsoft Office and HR systems.
  • Able to work independently with minimal supervision.
  • Mature, responsible and able to handle confidential information professionally.
  • Willing to be hands-on and work closely with employees and Operations.
