Job Description – Accounts Executive

Position Title: Accounts Executive

Department: Finance & Accounts

Industry: Food & Beverage (F&B)

Reporting To: Finance Manager / Accounts Manager


Position Summary

The Accounts Executive is responsible for managing daily accounting operations, ensuring accurate financial records, timely reporting, and compliance with company policies and statutory requirements. The role supports the Finance team in maintaining financial integrity across multiple F&B outlets and business entities.


Key Responsibilities Financial Accounting

  • Handle full set of accounts or assigned accounting functions, including Accounts Payable (AP), Accounts Receivable (AR), and General Ledger (GL).
  • Record and maintain accurate financial transactions in the accounting system.
  • Prepare journal entries, account reconciliations, and month-end closing schedules.
  • Ensure accounting records are complete, accurate, and properly maintained.

Accounts Payable

  • Process supplier invoices and ensure timely payment.
  • Verify invoices against purchase orders and supporting documents.
  • Prepare payment schedules and bank payment instructions.
  • Reconcile supplier statements and resolve discrepancies.

Accounts Receivable

  • Prepare customer invoices and monitor collections.
  • Follow up on outstanding balances and coordinate with internal stakeholders.
  • Reconcile customer accounts and investigate payment differences.

Bank & Cash Management

  • Perform daily bank reconciliations.
  • Monitor cash flow transactions and petty cash.
  • Record receipts, payments, and bank transactions accurately.

Financial Reporting

  • Assist in preparing monthly management reports and financial statements.
  • Prepare schedules for balance sheet reconciliations.
  • Support budgeting and forecasting activities as required.
  • Assist in variance analysis and financial reporting.

Inventory & Cost Control (F&B)

  • Reconcile inventory movements with accounting records.
  • Assist in monitoring food and beverage costs.
  • Verify stock adjustments and wastage reports.
  • Support outlet stock count and inventory reconciliation.

Tax & Statutory Compliance

  • Assist in preparing SST reports and other tax-related schedules.
  • Support statutory submissions and ensure compliance with Malaysian regulations.
  • Prepare documentation required for audits and tax filings.

Audit Support

  • Assist external and internal auditors during audit engagements.
  • Prepare audit schedules and supporting documents.
  • Ensure timely resolution of audit queries.

Administrative & Finance Support

  • Maintain proper filing of financial records and supporting documents.
  • Liaise with banks, suppliers, customers, and internal departments.
  • Support process improvement initiatives within the Finance department.
  • Perform other accounting and finance-related duties assigned by management.

RequirementsQualifications

  • Diploma or Bachelor's Degree in Accounting, Finance, or a related field.
  • Professional certification (e.g. ACCA, CPA, MIA, or equivalent) is an added advantage.

Experience

  • Minimum 2–4 years of relevant accounting experience.
  • Experience in the F&B, retail, hospitality, FMCG, or multi-outlet environment is preferred.
  • Experience handling full set of accounts is an advantage.
