Responsibilities:
Human resources management:
- Manage end-to-end recruitment and onboarding activities, including job postings, candidate sourcing, interviews, reference checks, and induction programmes.
- Support employer branding initiatives through job portals, social media platforms, career fairs, and university engagement activities.
- Maintain accurate and up-to-date employee records and HR databases.
- Monitor and administer employee attendance, leave, probation, confirmation, and training records.
- Coordinate probation reviews and employee confirmation processes with department managers.
- Prepare employment contracts, confirmation letters, warning letters, and other HR-related correspondence.
- Provide HR guidance and support to employees on employment-related matters, policies, and procedures.
- Assist in employee performance management, appraisal processes, and performance improvement initiatives.
- Handle employee exits, including resignation documentation, exit interviews, and clearance procedures.
- Ensure confidentiality and proper handling of all employee information
Training and development:
- Coordinate training programs for staff development.
- Assist with career development planning and performance improvement initiatives.
Compliance and policy management:
- Ensure compliance with company policies, employment legislation, statutory requirements, and workplace regulations.
- Assist in updating and maintaining HR policies, procedures, employee handbooks, and HR documentation.
- Coordinate work permit, employment pass, visa applications, and renewals where applicable.
- Support internal and external audits by preparing HR and administration-related documentation.
- Ensure proper record management and document retention practices.
Employee relations:
- Foster a positive work environment by supporting team building and resolving conflicts.
- Act as a liaison between employees and management, addressing concerns and providing solutions.
Administrative support:
- Handle day-to-day office administration, including managing office supplies, equipment, and facilities.
- Review and process staff claims, providing guidance on the claims process.
- Manage staff phones and laptops, including setup and troubleshooting of any issues.
- Coordinate staff travel arrangements, including hotel and flight bookings.
- Coordinate meetings, appointments, and company events.
- Ensure a smooth office environment by managing cleanliness, safety, and organization.
Other duties:
- Assist in ad-hoc hr and administrative tasks as needed.
- Assist in the preparation of annual budgets related to hr and administrative expenses.
Qualifications:
- Bachelor’s degree in human resources, business administration, or related field.
- At least 1-2 years of experience in human resources and administration roles.
- Fresh graduates are encouraged to apply.
- Proficient in Microsoft office suite (Word, Excel, PowerPoint) and basic office equipment.
- Knowledge of local labour laws and hr best practices.
- Ability to handle sensitive and confidential information with discretion.
- Problem-solving and conflict resolution skills.
- Excellent communication and interpersonal skills.
- Proactive and able to work independently as well as part of a team.
- Positive attitude and ability to work in a fast-paced environment.
- Ability to multitask and prioritize effectively.

Pay: RM3,800.00 - RM4,800.00 per month
