Key Responsibilities
Executive & Administrative Support
- Provide full administrative and secretarial support to the General Manager.
- Manage the GM's calendar, appointments, meetings, and travel arrangements.
- Prepare meeting agendas, presentations, business proposals, reports, and correspondence.
- Record meeting minutes and track follow-up actions to ensure timely completion.
- Screen calls, emails, and correspondence, responding or escalating where appropriate.
- Maintain an organized filing system for both physical and electronic documents.
Strategic Planning & Project Coordination
- Coordinate and monitor strategic projects, ensuring timelines and deliverables are met.
- Liaise with internal departments to collect project updates, business data, and reports.
- Assist in preparing business cases, feasibility studies, presentations, and management reports.
- Monitor project milestones and provide regular progress updates to the General Manager.
- Support cross-functional collaboration on strategic initiatives and business improvement projects.
Vendor Management & Negotiation
- Source and identify suitable vendors, suppliers, and service providers based on business requirements.
- Obtain quotations, conduct price comparisons, and evaluate vendor proposals.
- Coordinate and participate in vendor discussions and negotiations to achieve competitive pricing, quality, and service levels.
- Build and maintain strong working relationships with vendors and external business partners.
- Monitor vendor performance and ensure timely delivery of products and services.
- Assist in reviewing contracts, service agreements, and purchase-related documentation before submission for approval.
- Coordinate with Finance and Procurement teams to ensure smooth payment processing and contract administration.
Documentation & Reporting
- Prepare weekly, monthly, and ad hoc reports, dashboards, and presentation materials.
- Consolidate departmental reports and ensure timely submission.
- Maintain proper records of strategic projects, contracts, budgets, and confidential documents.
- Ensure all documentation is accurate, organized, and easily accessible.
Office Administration
- Manage office supplies and administrative requirements for the department.
- Process purchase requisitions, invoices, expense claims, and other administrative documentation.
- Arrange logistics for meetings, business visits, and corporate events.
- Assist in monitoring departmental budgets and administrative expenses.
Confidentiality & Compliance
- Handle confidential and sensitive business information with professionalism and discretion.
- Ensure compliance with company policies, procedures, and administrative standards.
- Support continuous improvement initiatives to enhance administrative efficiency.
Pay: RM3,000.00 - RM3,500.00 per month
