Job Description

Responsibilities

Human Resources

Manage the company's day to day human resources activities.

Oversee the employee lifecycle from recruitment and onboarding through to resignation and offboarding.

Prepare employment contracts, HR letters and other employee documentation.

Maintain accurate and confidential employee records.

Manage employee leave, attendance and other HR records.

Provide HR support and guidance to management and employees on employment related matters.

Assist management with employee relations and disciplinary matters.

Coordinate probation reviews, confirmation of employment and performance reviews.

Review HR procedures and recommend improvements where appropriate.

Maintain and update HR policies and employee guidelines when required.

Recruitment and Manpower Planning

Manage recruitment activities for the company's operational and administrative positions.

Prepare and publish job advertisements on relevant recruitment platforms.

Source and screen candidates and conduct interviews.

Coordinate interviews and selection processes with management.

Prepare employment documentation for successful candidates.

Coordinate the onboarding process for new employees.

Monitor staffing requirements and assist management with manpower planning.

Liaise with recruitment agencies and other recruitment partners when required.

Work Pass Administration

Manage work pass applications, renewals, transfers and cancellations through the relevant Ministry of Manpower systems.

Monitor work pass validity and ensure that applications and renewals are submitted within the required timelines.

Maintain proper records and documentation relating to foreign employees.

Assist management with work pass related matters and requirements.

Keep updated on relevant changes to Singapore work pass requirements and employment regulations.

Payroll and Statutory Administration

Coordinate monthly payroll preparation and administration.

Review employee salary, allowances, deductions, overtime and leave information before payroll processing.

Coordinate CPF related matters and other applicable statutory requirements.

Maintain accurate payroll and employee compensation records.

Liaise with external payroll providers, accountants and other service providers when required.

Assist with employment related reporting and administrative requirements.

HR Compliance

Ensure that HR processes are carried out in accordance with applicable Singapore employment requirements.

Maintain appropriate employment records and documentation.

Keep updated on changes to relevant employment legislation and regulations.

Ensure employment contracts and HR documentation are properly maintained.

Support management in implementing appropriate HR policies and procedures.

Handle employee information with a high level of confidentiality.

Administration

Oversee general HR and administrative activities.

Maintain organised HR and administrative filing systems.

Coordinate with external vendors and service providers.

Manage company and employee documentation.

Assist management with administrative and operational projects.

Support the business with other HR and administrative matters as required.

Requirements

Bachelor's Degree in Human Resources, Business Administration, Management or a related discipline.

At least 5 years of relevant experience in human resources and administration, preferably with experience in a managerial or supervisory position.

Good knowledge of Singapore human resources practices and employment requirements.

Experience managing recruitment and employee lifecycle processes.

Experience handling Singapore work pass applications and related MOM processes.

Knowledge of payroll and CPF administration.

Experience in employee relations and performance management.

Strong organisational and communication skills.

Good attention to detail and ability to manage confidential information.

Able to work independently and manage multiple responsibilities in a fast paced business environment.

Proficiency in Microsoft Office or Google Workspace.

Experience in the food and beverage, hospitality, retail or SME environment will be an advantage.
