Job Description

Responsibilities

Job Purpose

The HR Executive is responsible for supporting and managing the day-to-day Human Resources functions of the organisation, including recruitment, employee administration, staff performance, onboarding, employee relations, HR documentation, training coordination, and compliance with company policies and applicable employment regulations.

The role requires close coordination with management, department heads, branch PICs, and employees to ensure smooth HR operations and a professional workplace environment.

KEY RESPONSIBILITIES1. Recruitment & Talent Acquisition

  • Manage the full recruitment process from job posting to onboarding.
  • Prepare and publish job advertisements through suitable recruitment platforms.
  • Screen applications, shortlist candidates and conduct initial interviews.
  • Coordinate interview schedules with HODs and Management.
  • Prepare interview questions, evaluation forms and candidate reports.
  • Conduct reference checks where required.
  • Prepare and coordinate Offer Letters and employment documentation.
  • Maintain an updated recruitment tracker and candidate database.
  • Monitor manpower requirements across departments and branches.
  • Develop proactive recruitment strategies to ensure sufficient manpower.

2. Employee Onboarding & Confirmation

  • Coordinate onboarding for all new employees.
  • Ensure new employees receive the necessary documents, policies, SOPs and company information.
  • Conduct or coordinate employee orientation and induction programmes.
  • Monitor new employees throughout their probation period.
  • Coordinate performance evaluations before employee confirmation.
  • Maintain proper records of probation, confirmation, extension or termination.
  • Ensure employees understand their responsibilities, company policies and SOPs.

3. HR Administration & Documentation

  • Maintain accurate and confidential employee personnel files.
  • Manage employment contracts, Offer Letters, confirmation letters, warning letters and other HR documents.
  • Maintain updated employee records, staff lists and organisational information.
  • Manage HR forms, staff declarations, acknowledgement forms and internal documentation.
  • Maintain HR trackers for recruitment, leave, attendance, probation, training and disciplinary matters.
  • Ensure HR documents are properly organised and accessible to authorised personnel.

4. Attendance, Leave & Staff Monitoring

  • Monitor employee attendance and punctuality.
  • Review attendance records and highlight recurring issues to management.
  • Monitor staff leave applications and maintain accurate leave records.
  • Follow up on absenteeism, late attendance and attendance-related issues.
  • Coordinate with branch PICs and HODs regarding staff attendance matters.
  • Ensure employees comply with company working hours and attendance procedures.

5. Employee Relations & Disciplinary Matters

  • Handle employee concerns, complaints and workplace issues professionally.
  • Assist management in investigating staff misconduct and disciplinary matters.
  • Prepare relevant documentation such as show-cause letters, warning letters and disciplinary records.
  • Conduct staff counselling or clarification sessions when required.
  • Maintain proper records of disciplinary cases.
  • Ensure HR matters are handled fairly, professionally and confidentially.
  • Escalate serious or sensitive matters to Management/HR Manager.

6. Performance Management

  • Assist in implementing employee performance evaluation systems.
  • Monitor staff performance during probation and throughout employment.
  • Coordinate KPI and performance review processes.
  • Collect feedback from HODs, supervisors and relevant PICs.
  • Identify recurring performance issues and recommend appropriate follow-up actions.
  • Assist in developing Performance Improvement Plans (PIP) where required.

7. Training & Staff Development

  • Identify training needs together with HODs and Management.
  • Coordinate internal and external training programmes.
  • Maintain employee training records.
  • Assist in organising staff development programmes, workshops and team-building activities.
  • Monitor employee participation and completion of required training.
  • Support continuous improvement of employee knowledge, skills and workplace performance.

8. HR Policies, SOPs & Compliance

  • Assist in developing, updating and implementing HR policies and procedures.
  • Ensure employees understand and comply with company HR policies and SOPs.
  • Review HR processes and recommend improvements where necessary.
  • Maintain awareness of applicable employment laws and regulations.
  • Assist Management in ensuring HR practices are properly documented and implemented.
  • Support internal HR audits and compliance reviews.

9. Employee Engagement & Workplace Culture

  • Support initiatives that improve employee engagement and workplace culture.
  • Organise employee activities, staff meetings, appreciation programmes and team-building activities.
  • Gather employee feedback and identify workplace concerns.
  • Promote professional communication, teamwork and positive workplace behaviour.
  • Assist Management in maintaining a professional and productive working environment.

10. HR Reporting & Management Support

  • Prepare weekly and monthly HR reports for Management.
  • Provide updates on recruitment status, manpower, attendance, staff performance and disciplinary matters.
  • Maintain HR dashboards and trackers.
  • Analyse HR-related information and highlight important trends or issues.
  • Prepare HR presentations, reports and management summaries when required.
  • Assist Management with HR-related projects and special assignments.

11. Branch HR Coordination

  • Act as the HR coordination point between HQ and branch teams.
  • Monitor HR matters across all branches.
  • Coordinate recruitment and manpower requirements for individual branches.
  • Ensure branch PICs follow HR procedures and documentation requirements.
  • Conduct periodic HR checks with branch teams.
  • Escalate branch-level HR issues to Management where necessary.

12. Other Responsibilities

  • Maintain strict confidentiality of employee and company information.
  • Handle sensitive HR matters with professionalism and discretion.
  • Support company events, staff activities and operational projects when required.
  • Assist Management with ad-hoc HR and administrative projects.
  • Perform other duties reasonably assigned by Management in accordance with the position.

The HR Executive may be assessed based on:

  • Recruitment completion and manpower fulfilment.
  • Recruitment turnaround time.
  • Quality and suitability of new hires.
  • New employee onboarding effectiveness.
  • Accuracy of HR documentation.
  • Attendance and employee record management.
  • Timely completion of probation and confirmation reviews.
  • Staff retention and turnover monitoring.
  • Timely handling of employee issues.
  • HR policy and SOP implementation.
  • Training and staff development coordination.
  • Accuracy and timeliness of HR reports.
  • Overall responsiveness and professionalism of HR support.

QUALIFICATIONS & REQUIREMENTS

  • Diploma or Bachelor's Degree in Human Resources, Business Administration, Management, Psychology or related field.

Experience

  • Preferably 1–3 years of experience in Human Resources.
  • Experience in recruitment, employee relations and HR administration is an advantage.
  • Experience managing employees across multiple departments or branches is an added advantage.

AUTHORITY & ACCOUNTABILITY

The HR Executive is accountable for ensuring that assigned HR processes are carried out accurately, professionally and within the required timeline, while maintaining confidentiality and complying with company policies and applicable regulations.

The position is also expected to proactively identify HR issues and bring them to the attention of Management together with appropriate recommendations.

Pay: RM3,000.00 - RM4,000.00 per month
