Front Office Assistant - Fox Hotel Glenmarie Shah Alam
Job Summary
We are looking for a friendly, professional, and service-oriented Front Officer Assistant to join our team. The successful candidate will be responsible for delivering excellent guest service, managing front desk operations, and ensuring a smooth and pleasant experience for all guests.
The role involves handling guest arrivals and departures, cashiering, reservations, guest enquiries, business centre services, and coordinating with other departments to meet guest requirements. The position also requires maintaining high standards of professionalism, efficiency, confidentiality, and service excellence.
Key Responsibilities
- Welcome, greet, and assist guests in a friendly and professional manner.
- Handle guest check-in, check-out, cashiering, and daily front desk operations.
- Prepare for guest arrivals and departures, ensuring all guest requirements are properly arranged.
- Attend to guest enquiries, requests, feedback, and complaints promptly and professionally.
- Maintain positive and professional relationships with guests and address guests by name whenever appropriate.
- Coordinate with Housekeeping, Security, Reservations, and other departments to fulfil guest requests and ensure smooth operations.
- Maintain accurate guest records, accounts, reports, communication logs, and system updates.
- Monitor and follow up on pending guest requests and operational matters.
- Handle incoming mail, faxes, telephone calls, and other guest communications.
- Assist with reservations, walk-in enquiries, apartment/show unit viewings, tour bookings, flight confirmations, and other guest arrangements.
- Provide business centre services such as photocopying, faxing, and other administrative assistance.
- Maintain accurate records of cash float, cashiering transactions, and other front desk financial matters.
- Assist with night audit, daily closing, and month-end closing procedures when required.
- Maintain guest confidentiality and comply with company standards, policies, security, and safety procedures.
- Keep updated on hotel/apartment facilities, services, promotions, and activities to provide accurate information to guests.
- Assist with guest activities and special arrangements organised by Management.
- Report equipment faults, security concerns, incidents, and operational issues promptly.
- Maintain cleanliness, organisation, and professional appearance of the front desk, lobby, and back-office areas.
- Attend daily briefings, departmental meetings, and relevant training programmes.
- Contribute actively to improving service standards and overall guest satisfaction.
Requirements
- Previous experience in Front Office, Guest Relations, Hospitality, Hotel, Serviced Residence, or a related field is preferred.
- Strong customer service and communication skills.
- Pleasant, courteous, and professional personality.
- Good interpersonal and problem-solving skills.
- Able to handle guest complaints and challenging situations professionally.
- Good computer and administrative skills.
- Able to work independently as well as within a team.
- Willing to work shifts, weekends, and public holidays where required.
- Good command of English; additional languages are an advantage.
