About the role
We are looking for a hands-on manager to oversee general finance, HR and administration for our Singapore office and support our teams in Cambodia and Nepal. The role combines financial analysis and controls with day-to-day people and office matters. You will work closely with overseas colleagues, external accounting firms, auditors and service providers. Training on OHF’s established procedures will be provided.
Key responsibilities
Finance and controls
- Review financial data and Excel reports to monitor spending, identify unusual transactions and support management decisions.
- Maintain financial controls and follow up on discrepancies, potential waste or suspected misuse of funds.
- Guide and train overseas staff on accurate data entry, documentation and timely reporting.
- Coordinate with external accounting firms on bookkeeping, accounts and financial reports across Singapore, Cambodia and Nepal.
- Liaise with external auditors and help prepare supporting documents and responses.
- Coordinate fundraising permit applications, reporting deadlines and required submissions to relevant authorities.
- Visit overseas operations approximately quarterly to understand field costs, review processes and support staff training. Training may also be conducted remotely.
Human resources
- Coordinate recruitment, interview arrangements, onboarding and employee records.
- Track leave, attendance and other routine HR matters for the Singapore team, and support overseas teams where required.
- Prepare regular access control and attendance reports for management.
- Help maintain clear HR processes and respond to day-to-day staff queries.
Administration and operations support
- Maintain organised records, including key corporate, financial, HR and programme documents.
- Maintain the donor database and support accurate record keeping.
- Coordinate office IT needs, including backups, antivirus protection and liaison with email, website and other technology vendors.
- Provide administrative support to programme operations, fundraising, marketing and events.
Requirements
- Diploma in Accounting, Finance or a related discipline.
- At least three years’ experience in accounting, finance operations or a combined finance and administration role.
- Strong Excel skills, including lookup formulas, SUMIFS and pivot tables; able to work confidently with detailed spreadsheets.
- Working knowledge of bookkeeping and accounting practices, with some experience supporting audits.
- Able to organise competing tasks, follow through independently and communicate clearly with colleagues across countries.
- Willing to learn OHF’s overseas operating procedures and travel periodically to Cambodia and Nepal.
- Experience using AI tools to improve reporting or administrative work is an advantage.
