Responsibilities

Procurement Coordinator / Executive

Chemlex (F.E.) Pte Ltd | Singapore | Full-time

Chemlex is a chemical distribution and specialty manufacturing company. We are looking for an organized and proactive Procurement Coordinator / Executive to manage purchasing, supplier pricing, overseas shipments and inventory planning, ensuring competitive costs and sufficient stock to meet customer requirements.

Key Responsibilities

Source chemical raw materials, packaging and related services from local and overseas suppliers.

Conduct pricing analysis and compare supplier quotations to secure competitive pricing while meeting product quality and delivery requirements.

Evaluate total landed costs, including product prices, freight, insurance, duties where applicable, handling and local transportation.

Prepare and maintain regular Excel pricing analysis reports comparing supplier quotations, historical purchase prices, price changes and total landed costs.

Use Excel formulas, pivot tables and charts to highlight pricing trends, supplier competitiveness and potential cost savings, and present findings and purchasing recommendations to management.

Negotiate pricing, volume discounts, payment terms and other commercial conditions, with purchases subject to management approval.

Prepare purchase orders and verify product specifications, quantities, packaging and delivery details.

Follow up on supplier order confirmations, outstanding purchases and production schedules.

Work closely with the sales team to plan purchases for customer orders, tenders, blanket orders and upcoming projects.

Obtain supplier pricing and availability for tender submissions, and track quotation validity.

Plan purchases and overseas shipment schedules based on stock levels, customer demand, outstanding orders and supplier lead times to maintain sufficient stock and prevent stockouts.

Liaise with overseas suppliers, shipping agents and freight forwarders to coordinate shipment bookings, shipping documents, customs clearance arrangements and delivery to our warehouse.

Track shipment progress and arrival dates, follow up promptly on delays and keep the sales, warehouse and logistics teams informed.

Flag potential stock shortages early and coordinate expedited shipments or alternative supply arrangements, subject to management approval.

Monitor slow-moving and excess inventory, and adjust replenishment plans with the relevant teams.

Assist with regular stock counts and reconcile inventory discrepancies with the warehouse team.

Coordinate purchases and movements of chemicals supplied in drums, IBCs and isotanks, including tank rental and return arrangements where required.

Coordinate with external blending partners on material availability, production schedules and finished-product collection.

Obtain and maintain Safety Data Sheets (SDS), Technical Data Sheets (TDS), Certificates of Analysis (COA) and shipping documents.

Work with the relevant technical team to confirm product suitability before purchasing substitutes or alternative grades.

Resolve supplier shortages, damaged goods and documentation discrepancies.

Verify supplier invoices against agreed prices, purchase orders and receiving records, and liaise with accounts on payment arrangements.

Maintain accurate supplier records, purchasing prices and order histories.

Requirements

Previous experience in procurement, purchasing, supply chain or a related coordination role.

Experience in chemical distribution, industrial supplies, manufacturing, marine or offshore industries will be an advantage.

Degree or Diploma in Business Administration, Chemical Engineering, Chemistry, Engineering, Supply Chain Management or a related discipline.

Experience with chemical supply chains, industrial logistics, international sourcing or regulatory compliance would be an advantage.

Experience coordinating overseas suppliers, import shipments and freight forwarders is preferred.

Strong numerical and analytical skills, with the ability to compare supplier pricing and calculate landed costs.

Proficient in Microsoft Excel, including formulas, lookup functions, pivot tables and charts, with the ability to prepare clear and accurate pricing analysis reports.

Good negotiation skills and a proactive approach to identifying cost savings.

Understanding of inventory replenishment, supplier lead times and shipment planning.

Strong attention to detail when handling currencies, units of measurement, product grades and purchasing documents.

Good communication and supplier follow-up skills.

Able to manage multiple purchases, prioritize urgent requirements and meet deadlines.

Experience with purchasing, inventory or ERP systems will be an advantage.

Familiarity with import documentation and Incoterms will be an advantage.

Responsible, resourceful and willing to learn about chemical products and their handling requirements.

Candidates with stronger sourcing, pricing analysis and negotiation experience will be considered for the Executive position.
