We are looking for a proactive and organized Operation Executive to support the day-to-day operations.
The ideal candidate should be hands-on, good at coordination and follow-up, able to work under pressure and comfortable handling multiple operational matters simultaneously.
1. Daily Operations Coordination
- Coordinate and monitor daily operational activities to ensure smooth execution.
- Follow up on collection, delivery, transportation and depot activities.
- Coordinate with internal teams, drivers, depots, customers and third-party vendors.
- Ensure operational issues are followed up and resolved within the required timeline.
- Assist Operation Manager in monitoring overall operational performance.
2. Collection & Delivery Management
- Coordinate UCO collection schedules and delivery arrangements.
- Monitor vehicle movement, collection status and delivery progress.
- Communicate with drivers regarding schedules, routes, locations and operational requirements.
- Ensure collection and delivery activities are carried out according to agreed schedules.
- Handle last-minute changes, delays and operational disruptions.
3. Driver & Vehicle Coordination
- Coordinate daily assignments and schedules for company drivers / lorry drivers.
- Monitor driver attendance, punctuality and operational compliance.
- Follow up on vehicle availability, servicing, maintenance and breakdown issues.
- Coordinate with workshop, transport vendors and relevant parties when necessary.
- Maintain proper records of vehicle-related operational matters.
4. Customer & Vendor Coordination
- Liaise with customers, suppliers, vendors and business partners on operational matters.
- Follow up on collection arrangements, delivery requirements and service issues.
- Coordinate with external transporters and service providers where applicable.
- Maintain good working relationships with operational stakeholders.
5. Documentation & Reporting
- Prepare daily/weekly/monthly operational reports.
- Maintain accurate records of collections, deliveries, vehicle movements and operational activities.
- Monitor operational data and highlight discrepancies or issues to management.
- Assist in preparing reports, schedules, trackers and other operational documentation.
6. Problem Solving & Operational Improvement
- Identify recurring operational issues and propose practical solutions.
- Assist in improving operational processes, efficiency and turnaround time.
- Monitor service issues and ensure proper follow-up until closure.
- Support management in implementing new operational procedures and initiatives.
7. Other Duties
- Support ad-hoc operational activities and projects as assigned by management.
- Be prepared to travel to depots, customer sites or other operational locations when required.
- Perform any other duties reasonably assigned by the supervisor / management.
Requirements
- Diploma / Bachelor's Degree in Business Administration, Operations Management, Logistics, Supply Chain or related field.
- 2–4 years of relevant experience in operations, logistics, transportation or related industries.
- Experience in coordinating drivers, vehicles, deliveries or field operations will be an advantage.
- Strong coordination, communication and follow-up skills.
- Good problem-solving and organizational skills.
- Able to multitask and work in a fast-paced environment.
- Proficient in Microsoft Office, particularly Excel.
- Willing to travel to operational sites / depots when required.
- Possess a valid driving licence.
- Able to work independently with minimum supervision.
- Good command of Bahasa Malaysia and English.
Pay: RM2,500.00 - RM4,500.00 per month
