Who We are Looking for:

The Regional Operations Manager / Senior Manager is a hands-on operations role focused on strengthening the day-to-day operating rhythm of the Medical Communications (MedComms) business. Working alongside existing functional operational leaders, account managers, event managers, and business process re-engineering colleagues, the role provides a unifying operational view across project pipeline, resourcing, SOP adherence, workflow effectiveness, KPI monitoring, and issue resolution. It does not replace the project management responsibilities of account managers and event managers; instead, it ensures teams have the visibility, tools, resources, and operating discipline needed to deliver high-quality work smoothly and consistently across Hong Kong, Japan, Malaysia, Singapore, and Taiwan.


What Impact You Will Make:

  • Support existing functional operational leaders by facilitating resourcing, workflow visibility, and delivery coordination across the core regional MedComms teams.
  • Provide unifying oversight across account manager- and event manager-led project delivery, ensuring teams follow agreed SOPs, use required tools, and maintain accurate project and pipeline information.
  • Actively monitor new project pipelines, incoming briefs, live workload, and forward demand to identify resource bottlenecks, scheduling conflicts, dependency risks, and capacity gaps early.
  • Facilitate allocation and reallocation of resources in consultation with functional leaders, matching work to skills, availability, workload, deadlines, market priorities, and delivery complexity.
  • Evaluate existing tools, trackers, SOPs, workflows, handoffs, traffic meetings, and reporting practices, identifying areas where processes can be simplified, standardised, automated, or better embedded.
  • Work with business process re-engineering colleagues to improve workflows, streamline operational processes, strengthen tool adoption, reduce duplication, and support consistent ways of working across regional teams.
  • Establish practical operational KPIs and dashboards for areas such as pipeline visibility, resource utilisation, capacity risk, SOP adherence, delivery timeliness, workflow efficiency, rework, and issue resolution.
  • Monitor, analyse, and evaluate KPI data to inform decisions on prioritisation, resourcing, workflow changes, escalation, freelancer use, and continuous improvement priorities.
  • Support troubleshooting and issue resolution when bottlenecks, process gaps, unclear ownership, resource constraints, or competing priorities limit smooth, high-quality delivery.


What Skills and Experience You will Bring:

  • Minimum of 4 years of experience in agency operations, traffic management, resource management, delivery operations, business operations, or project operations within a fast-paced client-service environment; healthcare communications, medical communications, events, creative, digital, publishing, or professional services experience preferred.
  • Strong hands-on experience supporting operational leaders, coordinating resources, monitoring project pipelines, and keeping cross-functional teams aligned without directly owning all project management delivery.
  • Practical understanding of SOP implementation, workflow governance, traffic management, capacity planning, KPI tracking, utilisation reporting, issue escalation, and continuous improvement in an agency or professional services setting.
  • Comfortable evaluating workflow tools, trackers, dashboards, reporting processes, and ways of working, and able to partner with business process re-engineering teams to translate improvement opportunities into practical operating changes.
  • Analytical and detail-oriented, with the ability to establish meaningful KPIs, interpret workload and performance data, identify patterns, and recommend balanced, pragmatic actions.
  • Confident communicator who can facilitate traffic discussions, clarify ownership, challenge unrealistic timelines constructively, support issue resolution, and hold stakeholders accountable with diplomacy and professionalism.
  • Excellent English written and verbal communication skills; additional regional languages are an advantage.
