Responsibilities

CLINIC ASSISTANT CUM ADMIN

Kiddo Child Specialist Clinic is looking for a responsible, organised and friendly Clinic Assistant cum Admin to join our growing team.

As a paediatric specialist clinic, we believe that a great patient experience starts from the moment a family walks through our doors. We are looking for someone who is patient-focused, detail-oriented and able to work well in a busy clinic environment.

JOB RESPONSIBILITIES1. Front Desk & Patient Management

  • Welcome and assist patients and parents in a friendly and professional manner.
  • Manage patient registration, appointments, payments and follow-ups.
  • Handle phone calls, WhatsApp enquiries and other patient communications.
  • Assist with patient flow and ensure the clinic operates smoothly throughout the day.
  • Provide clear information regarding clinic services, vaccinations, fees and appointments.

2. Billing, Accounts & Panel Management

  • Process patient payments, receipts and daily collections accurately.
  • Manage billing and claims for panel patients.
  • Follow up on outstanding panel payments and documentation.
  • Assist with accounts receivable, accounts payable, invoices and basic financial records.
  • Perform basic reconciliation and assist with monthly financial reporting.
  • Liaise with panel companies and relevant parties when required.

3. Administrative Duties

  • Perform daily administrative tasks including filing, data entry, documentation and correspondence.
  • Maintain accurate and organised patient and clinic records.
  • Assist with preparation of reports, forms and other administrative documents.
  • Ensure patient information is handled with strict confidentiality.

4. Clinic Operations & Inventory

  • Monitor clinic supplies, medications, stationery and other inventory.
  • Assist with stock ordering and maintain appropriate stock levels.
  • Ensure the reception and clinic areas are organised and well maintained.
  • Assist the doctor and clinic team with day-to-day operational matters.

5. Staff Coordination

  • Assist with staff scheduling and daily coordination.
  • Monitor attendance and ensure adequate staff coverage.
  • Communicate with team members to ensure smooth clinic operations.
  • Assist the management team with administrative and operational tasks when required.

6. Customer Service

  • Provide a warm, professional and empathetic experience for children and their families.
  • Handle patient enquiries, feedback and concerns professionally.
  • Build positive relationships with patients and parents.
  • Work closely with doctors, nurses and other team members to ensure efficient patient care.

REQUIREMENTS

  • Previous experience in clinic administration, healthcare, customer service or office administration is preferred.
  • Experience in a paediatric clinic or healthcare setting is an advantage.
  • Experience handling billing, panel claims or basic accounts is an advantage.
  • Comfortable using Microsoft Office, particularly Word and Excel.
  • Good organisational and multitasking skills.
  • Strong attention to detail and accuracy.
  • Good communication skills in English and Bahasa Malaysia.
  • Friendly, patient and comfortable interacting with children and parents.
  • Able to work independently as well as part of a team.
  • Responsible, reliable and willing to learn.
  • Maintains a high standard of professionalism, integrity and confidentiality.

QUALIFICATIONS

  • Certificate, Diploma or Degree in Business Administration, Accounting, Healthcare Administration or a related field.
  • Relevant working experience may be considered in place of formal qualifications.
