Job highlight:
This role combines HR business partnering with hands-on HR operations and office management for SHOPLINE-MY. You will be the primary HR point of contact for the Malaysia team — translating business needs into people actions (talent, performance, employee relations, org effectiveness) while keeping the operational engine running: payroll, HR administration, compliance, and office management. The ideal candidate has 3–7 years of HR experience, including time in a business-facing or HRBP capacity, and thrives in a lean, fast-paced environment.
Job Responsibilities:
HR Business Partnering:
- Act as HR partner to SLMY business leaders — advise on people matters, team structure, and workforce planning, and translate business priorities into headcount, talent, and retention plans.
- Coach managers on people leadership, team effectiveness, and sensitive employee situations.
- Use HR data (headcount, turnover, engagement, attendance) to surface insights for management.
- Partner with regional and global HR teams to land group-level HR programmes locally.
Payroll and HR Administration
- Act as the primary point of contact for payroll processing with a third-party vendor, ensuring accurate and timely compensation.
- Maintain HR records — employee data, leave management, attendance tracking — ensuring accuracy and compliance with company policies and labour laws.
- Support onboarding and offboarding, including employment contracts, orientation sessions, and exit procedures.
Employee Relations and Engagement
- Serve as a liaison between employees and management, addressing concerns and keeping communication channels open.
- Organize employee engagement activities to promote a cohesive and inclusive work environment.
- Guide employees on company policies, procedures, and benefits.
HR Compliance and Reporting
- Ensure compliance with local labour laws and company policies, keeping up to date with legislative changes.
- Prepare and maintain HR reports — headcount, turnover, attendance — to provide insights to management.
Office Management
- Oversee day-to-day office operations — facilities, supplies, and vendor coordination — to ensure a productive work environment.
- Act as the main point of contact for office inquiries, including maintenance requests, equipment management, and administrative support.
- Manage office budgets and expenses (invoice processing, vendor payments, expense reporting) and maintain a well-organized, health-and-safety-compliant workspace.
Requirements:
- Experience: 3–7 years of HR experience, with at least 1–2 years in a business-facing or HRBP capacity and hands-on ownership of HR operations.
- Skills: Knowledge of HR operations, payroll processing, and office administration; familiarity with Malaysian labour laws and statutory requirements (EPF, SOCSO, EIS).
- Communication: Excellent communication and interpersonal skills, with the ability to build relationships and influence across all levels.
- Multitasking: Proven ability to manage multiple priorities in a fast-paced environment.
- Problem-Solving: Strong organizational and problem-solving skills with attention to detail.
- Workplace Dynamics: Experience fostering a positive workplace and managing office operations efficiently.
