Job Description

Responsibilities

Dental Admin & Operations Executive

We are looking for a responsible and organised Dental Admin & Operations Executive to support the day-to-day administrative and operational functions of our dental clinics.

Key Responsibilities:

  • Plan and coordinate staff manpower schedules and duty rosters to ensure adequate clinic coverage.
  • Monitor clinic manpower requirements and assist with staff deployment across clinics where required.
  • Monitor inventory levels and order dental, clinical and office supplies in a timely manner.
  • Coordinate with suppliers and ensure stock received is accurate against purchase orders and invoices.
  • Perform receipt entry and reconciliation of insurance payments received into the clinic management/accounting system.
  • Monitor outstanding insurance payments and assist with payment reconciliation where required.
  • Review and calculate staff overtime (OT) based on attendance records, schedules and approved overtime.
  • Check supplier invoices, supporting documents and payment records to ensure invoices and amounts tally accurately.
  • Assist with basic accounts and administrative reconciliation, including identifying and following up on discrepancies.
  • Maintain proper filing and documentation of invoices, receipts, insurance payments and operational records.
  • Support the management team in the smooth daily operations of the dental clinics.
  • Liaise with clinic staff, suppliers, insurers and other relevant parties on administrative and operational matters.
  • Perform other administrative and operational duties as assigned.

Requirements:

  • Good organisational and administrative skills.
  • Comfortable working with numbers, invoices and basic reconciliation.
  • Good attention to detail and ability to identify discrepancies.
  • Able to coordinate manpower schedules and handle multiple operational matters concurrently.
  • Proficient in Microsoft Excel and general computer systems.
  • Able to work independently and communicate effectively with clinic staff and external parties.
  • Previous experience in dental, healthcare, clinic operations or administrative work will be an advantage.
