Operations Executive — Travel Agency

Via Vacation & Travel Sdn Bhd is looking for an organised and responsible Operations Executive to support the day-to-day operations of our tour groups and travel packages.

The role involves coordinating travel arrangements, preparing operational documents, communicating with suppliers, and ensuring everything is properly arranged before each group’s departure.

Key Responsibilities

• Prepare and manage invoices, booking documents and operational paperwork
• Prepare and update hotel rooming lists
• Coordinate hotel reservations and room arrangements
• Liaise with hotels, ground operators, transport providers, tour leaders and other suppliers
• Prepare and check passenger/name lists
• Coordinate tour arrangements according to confirmed itineraries
• Ensure bookings, accommodation, transport and other arrangements are confirmed before departure
• Maintain organised records of bookings, invoices and supplier confirmations
• Assist with amendments, cancellations and last-minute operational changes
• Work closely with the Sales team to ensure confirmed bookings are handed over correctly to Operations
• Follow up on outstanding information required from customers or suppliers
• Assist in preparing departure documents and information for tour groups
• Handle general administrative and operational duties as required

Requirements

• Good organisational and time-management skills
• Detail-oriented and careful with names, dates, invoices and booking information
• Comfortable using Microsoft Excel / Google Sheets, Word and email
• Able to communicate professionally with suppliers and colleagues
• Able to handle multiple tour groups and deadlines simultaneously
• Responsible and able to work independently
• Willing to learn and work in a fast-paced travel environment
• Previous experience in travel agency operations, tourism, ticketing, hotel reservations or administration is an advantage
• Fresh graduates with good organisational skills are welcome to apply

Salary & Benefits

Starting salary: RM2,500 per month

Salary may be reviewed based on experience, performance and responsibilities.
