Job Description

Responsibilities

The

Accounts and Administration Executive (Part-Time)

is responsible for managing day-to-day financial operations and providing comprehensive administrative support. This role ensures the accuracy of financial records, processes invoices, manages payroll support, and coordinates office workflows to maintain an organized and efficient workplace.

Key Responsibilities

Accounting & Finance

  • Bookkeeping: Maintain accurate financial records by performing daily data entry for accounts payable (AP) and accounts receivable (AR).
  • Invoicing: Generate, issue, and follow up on customer invoices while processing vendor bills for timely payment.
  • Bank Reconciliation: Monitor and reconcile bank statements against internal ledgers regularly.
  • Expense Management: Process employee expense claims, mileage reports, and manage petty cash disbursements.
  • Financial Reporting: Assist the accountant or management with month-end closing procedures and basic financial report preparation.
  • Tax & Compliance: Assist in compiling documentation for tax filings (such as GST or local equivalents) and annual audits.

Office Administration

  • Office Coordination: Manage daily office operations, including handling incoming calls, emails, couriers, and visitor hospitality.
  • Procurement: Monitor and replenish office supplies, pantry inventory, and stationery.
  • Documentation: Establish and maintain secure physical and digital filing systems for corporate documents, contracts, and financial records.

Requirements & Qualifications

  • Education: Diploma in Accounting, Finance, Business Administration, or a related professional certification (e.g., LCCI).
  • Experience: 2 to 4 years of proven experience in a dual accounting and administrative capacity.
  • Software Skills: Proficiency in accounting software QuickBooks and standard office tools like Microsoft Excel (VLOOKUPs, pivot tables).
  • Core Competencies: Strong organizational skills, high attention to detail, excellent time management, and the ability to handle confidential data with integrity.
