1. Event Planning & Coordination
- Plan, organise and coordinate company events, promotions, exhibitions, roadshows, launches and corporate activities.
- Develop event concepts, themes, schedules and execution plans according to company objectives.
- Prepare event timelines, checklists, manpower arrangements and operational requirements.
- Coordinate all activities before, during and after the event to ensure smooth execution.
- Ensure all event activities are carried out according to the approved budget, timeline and company standards.
2. Vendor & Supplier Management
- Source and coordinate with event suppliers, contractors, promoters, printing companies, decorators, equipment providers and other vendors.
- Request quotations and compare prices, quality and services before making recommendations.
- Coordinate delivery, setup and dismantling of event equipment and materials.
- Monitor vendor performance and ensure all agreed services are delivered on time.
- Maintain good working relationships with vendors and negotiate where necessary.
3. Event Operations
- Manage on-site event operations and ensure all arrangements are properly prepared before the event starts.
- Coordinate event crew, promoters, sales teams and other personnel involved in the event.
- Monitor registration, booth setup, product display, promotional activities and customer engagement.
- Handle unexpected issues or operational problems during events and take appropriate corrective action.
- Ensure the event venue is clean, organised and maintained according to company requirements.
4. Budget & Cost Control
- Prepare estimated event budgets and monitor actual spending.
- Ensure all event expenses remain within the approved budget.
- Review quotations, purchase orders, invoices and payment documentation.
- Identify opportunities to reduce unnecessary event costs without compromising quality.
- Prepare event cost reports after completion of the event.
5. Marketing & Promotion
- Work closely with the Marketing team to develop promotional activities for events.
- Assist in preparing promotional materials, banners, buntings, flyers, digital content and other event-related materials.
- Coordinate social media and promotional activities before, during and after events.
- Ensure company branding and promotional messages are properly displayed at all event locations.
6. Coordination with Internal Departments
- Work closely with Marketing, Sales, Purchasing, Warehouse, Finance and Operations teams to ensure event requirements are fulfilled.
- Coordinate product requirements, transportation, manpower, equipment and promotional materials.
- Communicate event schedules and responsibilities clearly to all relevant departments.
7. Event Documentation & Reporting
- Prepare event proposals, schedules, quotations, purchase requests and other required documentation.
- Maintain proper records of event-related expenses, vendors, materials and activities.
- Take photographs and collect relevant information during events for reporting and marketing purposes.
- Prepare post-event reports covering attendance, sales, customer response, expenses, issues and overall event performance.
- Provide recommendations for improvement for future events.
8. Performance & KPI
The Event Executive may be measured based on:
- Successful execution of events according to schedule.
- Achievement of event objectives and KPIs.
- Event attendance and customer engagement.
- Sales or promotional results generated from events.
- Effective budget and cost control.
- Vendor and event quality management.
- Timely completion of event preparation and reporting.
- Customer and management satisfaction.
Pay: RM2,000.00 - RM4,500.00 per month
