Responsibilities

Job Overview

The Clinic Assistant plays an important role in supporting the daily activities of the GP clinic and assisting the medical team in providing smooth and efficient patient services. The position involves front-desk duties, patient care support, appointment coordination, clinical assistance, billing, stock control, and general administrative tasks.

Main Duties & Responsibilities

  • Greet patients warmly and assist them with registration and check-in procedures.
  • Manage patient queues and ensure an organised and efficient patient flow.
  • Respond to telephone calls, WhatsApp messages, and general patient enquiries promptly.
  • Arrange, update, and confirm patient appointments.
  • Collect relevant patient details and update information in the clinic system.
  • Measure and document basic observations such as blood pressure, temperature, pulse, and other vital signs when required.
  • Assist the doctor during patient consultations, examinations, and minor medical procedures.
  • Prepare treatment and consultation areas with the necessary equipment and supplies.
  • Carry out routine clinical support tasks according to the clinic's SOPs and level of competency.
  • Assist with the preparation and dispensing of prescribed medication under the supervision of the doctor, where applicable.
  • Ensure patient files, medical records, and documentation are properly maintained and securely handled.
  • Perform cashiering duties, collect consultation fees, process payments, and provide receipts.
  • Assist with insurance claims, panel clinic documentation, TPA matters, and company medical claims where necessary.
  • Keep track of medicines, medical equipment, and consumable items and notify the relevant person when replenishment is required.
  • Ensure the reception area, consultation rooms, treatment areas, and other clinic facilities are clean and orderly.
  • Follow proper cleaning, hygiene, and infection-prevention procedures at all times.
  • Assist with clerical work, data entry, filing, record keeping, and preparation of routine reports.
  • Comply with clinic policies, workplace safety procedures, professional standards, and applicable Malaysian healthcare requirements.
  • Communicate with patients and relatives in a respectful, patient, and professional manner.
  • Respond appropriately to urgent situations and provide assistance during emergencies within the scope of training.
  • Support other clinic-related activities and carry out additional duties assigned by the doctor or management.

Job Requirements

  • Minimum SPM qualification.
  • Experience in a GP clinic, hospital, medical centre, pharmacy, or healthcare environment is an added advantage.
  • Good verbal and written communication skills.
  • Able to communicate effectively in Bahasa Malaysia and English.
  • Comfortable using computers and basic clinic or healthcare management systems.
  • Positive, friendly, dependable, and willing to learn.
  • Able to interact professionally with patients from different backgrounds.
  • Capable of working independently and cooperating effectively with other team members.
  • Prepared to work according to the clinic's schedule, including shifts, weekends, public holidays, and overtime when required.
  • Must maintain patient privacy and protect confidential clinic information.

Working Schedule

The Clinic Assistant is required to follow the clinic's operating schedule. Working hours may include shift work, weekends, public holidays, and additional hours, depending on the clinic's operational needs.

  • Maintain accurate patient information and clinic documentation.
  • Provide reliable assistance to the doctor and medical team.

  • Ensure registration, billing, claims, and administrative processes are completed correctly.
  • Maintain proper stock levels and report shortages in a timely manner.
  • Observe all clinic SOPs, confidentiality requirements, hygiene standards, and workplace procedures.
  • Demonstrate punctuality, responsibility, teamwork, professionalism, and commitment to quality patient service.

Pay: RM1,700.00 per month
