About The Role
We are seeking a proactive and detail-oriented Property & Space Planner to support workplace planning, property management, and space optimization across a diverse property portfolio. This role is responsible for ensuring efficient space utilization, managing workplace reconfiguration activities, supporting office improvement projects, and maintaining compliance with property and occupancy standards.
Key Responsibilities
Space Planning & Occupancy Management
- Lead and coordinate space planning activities to optimize workplace utilization and operational efficiency.
- Develop and maintain seating plans, stacking diagrams, occupancy reports, and workplace allocation records.
- Monitor headcount movement, departmental space allocations, and workspace assignments.
- Conduct occupancy and utilization assessments to support strategic workplace planning decisions.
- Provide recommendations for workplace improvements based on current and future business needs.
Moves, Adds & Changes (MAC)
- Plan, coordinate, and oversee workplace Moves, Adds & Changes (MAC) activities.
- Conduct site assessments and evaluate workspace requirements.
- Prepare supporting documentation, layouts, and implementation plans.
- Ensure all workplace modifications comply with established safety, design, and operational standards.
- Coordinate with internal stakeholders, contractors, and vendors to ensure smooth execution.
Design & Technical Documentation
- Develop workplace space planning concepts and design proposals.
- Prepare conceptual layouts, mood boards, sample boards, and presentation materials.
- Produce and maintain CAD drawings, floor plans, as-built drawings, furniture schedules, and equipment inventories.
- Ensure accurate and up-to-date workplace records and documentation.
Property & Project Management Support
- Support workplace enhancement, refurbishment, renovation, and relocation projects.
- Conduct feasibility studies, technical site assessments, and user requirement analyses.
- Assist in project planning, budgeting, scheduling, and implementation activities.
- Monitor project progress, contractor performance, costs, and timelines.
- Support project close-out activities and documentation management.
Vendor, Tender & Contract Administration
- Support tendering exercises, vendor sourcing, evaluation, and recommendation processes.
- Assist with contract administration activities before, during, and after project execution.
- Monitor contractor compliance with agreed scope, quality standards, and timelines.
- Maintain records of project expenditures and support budget monitoring activities.
Property Administration & Compliance
- Support tenancy-related administration and documentation.
- Coordinate property-related renewals, including assessment tax and land tax submissions.
- Ensure compliance with applicable building regulations, workplace standards, health and safety requirements, and company policies.
- Maintain proper records of property documentation and regulatory submissions.
Workplace Experience & Aesthetic Management
- Support workplace design initiatives including furniture selection, finishes, interior fit-out, branding, décor, and landscaping elements.
- Ensure workplace environments align with corporate workplace standards and user experience objectives.
- Recommend improvements that enhance employee experience, workplace functionality, and space efficiency.
Stakeholder Management
- Partner with business units and support functions to understand workplace requirements.
- Provide technical advice and recommendations on workplace planning and utilization.
- Present space planning proposals and recommendations to stakeholders.
- Build strong working relationships with internal teams, consultants, landlords, vendors, and contractors.
Requirements
Education
- Bachelor's Degree in Architecture, Interior Design, Building Surveying, Facilities Management, Property Management, Construction Management, or a related discipline.
- Equivalent combination of education and relevant experience will also be considered.
Experience
Property & Space Planner
- 3-5 years of experience in space planning, workplace planning, facilities management, corporate real estate, architecture, interior design, or property management.
Technical Skills
- Proficiency in AutoCAD and space planning software.
- Experience maintaining floor plans, occupancy data, and workplace records.
- Working knowledge of workplace planning, fit-out, and MAC processes.
- Familiarity with project management, contract administration, and vendor management practices.
- Strong Microsoft Office skills, particularly Excel and PowerPoint.
- Knowledge of relevant building regulations, workplace standards, and health & safety requirements is an advantage.

Preferred Qualifications
- Exposure to Corporate Real Estate, Integrated Facilities Management (IFM), or Workplace Strategy environments.
- Experience with occupancy planning systems, CAFM/IWMS platforms such as Archibus, Planon, Tririga, or similar tools.
- Knowledge of workplace design trends, hybrid workplace strategies, and space utilization analytics.
- Project Management certification or relevant professional certification would be an added advantage.
