Full Time HR Operations Analyst Jobs, in TotalEnergies Federal Territory - Maukerja

Are you passionate about HR operations, data accuracy, reporting, and process improvement? We are looking for a detail-oriented HR Operations Analyst to support our HR team in delivering efficient HR services, payroll support, workforce analytics, and HR administration. This position will be 3 years fixed term contract.

HR Data, HRIS Master Data Management & Reporting

• Maintain accurate employee master data in HRIS / SAP and related HR records, including employee profiles, employment status, position details, reporting lines, cost allocation and movement history, ensuring accuracy and compliance with statutory requirements (EPF, SOCSO, income tax, final pay calculations).
• Perform regular data quality checks, reconciliations and clean-up to ensure consistency between HRIS, payroll inputs, employee files, organization charts and management reports.
• Prepare recurring and ad-hoc HR reports including headcount, employee movements, absenteeism, leave utilization, workforce demographics, payroll-related data and other HR KPIs.
• Consolidate and analyze HR data to identify trends, exceptions, risks and improvement opportunities, and provide clear insights to support P&S and management decision-making.
• Update and maintain the organization chart based on approved changes and inputs from Head of Operations / relevant management stakeholders.

Payroll Back-Up, Compensation & Rewards Support

• Serve as back-up for end-to-end payroll processing to ensure business continuity, including payroll data consolidation, input validation, payroll checking, statutory input verification and coordination with relevant stakeholders.
• Support payroll controls through reconciliation of employee movements, unpaid leave, overtime / allowances where applicable, benefits deductions, final pay inputs and statutory contributions.
• Assist in salary review exercises, bonus cycles and other reward campaigns through data preparation, validation, eligibility checking, modelling support and tracking of approvals.
• Support participation in external compensation and benefits benchmarking surveys, including data extraction, validation, submission preparation and follow-up clarification.

Statutory Compliance, Contract Stamping & Audit Support

• Coordinate contract stamping and maintain evidence of stamping or other statutory documentation as applicable to employment contracts and HR records.
• Assist in ensuring HR administrative practices comply with Malaysian statutory requirements, internal policies, delegation of authority, document retention expectations and PDPA confidentiality obligations for all Compensation & Benefit processes.
• Support internal and external audits by preparing requested HR evidence, performing pre-audit checks, ensuring documentation completeness and maintaining clear audit trails. Track gaps or exceptions identified through HR data checks, audit preparation or process reviews, and support timely remediation with responsible owners.

Process Improvement & General HR Support

• Contribute to improvement and standardization of HR processes, templates, trackers and dashboards to strengthen efficiency, governance and employee experience.
• Support HR digitalization or reporting initiatives, including data preparation, dashboard inputs and process documentation where required.
• Undertake other HR operations, rewards, reporting, compliance or administrative assignments.
• Undertake additional assignments or ad-hoc tasks as required.

What We're Looking For:

• Minimum 5 years’ experience in immigration, work permits, and in HR operations, payroll administration, HR analytics, HRIS data management, compensation support or related HR shared services role.
• Hands-on exposure to payroll processes and Malaysian statutory requirements such as EPF, SOCSO, EIS, PCB / income tax and employment documentation is preferred.
• Experience supporting salary review, bonus cycle, external compensation benchmarking survey or HR reporting activities will be an advantage.
• Good working knowledge of HR SAP module, Microsoft Excel and reporting tools; exposure to Power BI or dashboarding is an advantage.
• Understanding of Malaysian employment legislation, PDPA confidentiality expectations and HR audit / document control requirements.
• Strong analytical skills, high attention to detail, discretion in handling confidential information and ability to follow through with stakeholders.
• Clear written and verbal communication skills, with ability to prepare accurate employee letters and management reports.
• Ability to work independently, prioritize multiple deadlines and support both routine operations and ad-hoc HR projects.
