Job Description

Responsibilities

We are seeking a highly organized, professional and proactive Personal Assistant to provide comprehensive support to the Group Managing Director across business operations, business development, strategic initiatives and executive matters.

The role involves close coordination with senior management, internal teams, clients, business partners and other key stakeholders. The successful candidate will be expected to manage multiple priorities, exercise sound judgement and ensure matters entrusted by the Group Managing Director are followed through effectively and professionally.


Executive & Business Support

  • Provide comprehensive day-to-day support to the Group Managing Director, including calendar management, meeting coordination, correspondence and travel arrangements.
  • Serve as a key point of contact between the Group Managing Director and internal and external stakeholders.
  • Prepare presentations, reports, business proposals, correspondence and other materials required for business and management purposes.
  • Conduct research and gather relevant market, competitor and business information to support business discussions and strategic initiatives.
  • Support the Group Managing Director in business development activities, client engagement and relationship management.
  • Attend business meetings, networking sessions and selected social functions where required to support business relationships and development opportunities.

Project & Management Coordination

  • Coordinate and follow up on projects, assignments and key initiatives directed by the Group Managing Director.
  • Liaise with relevant departments and stakeholders to monitor progress, deadlines and deliverables.
  • Provide timely updates on outstanding matters, potential issues and important developments.
  • Coordinate Board, leadership and senior management meetings, including meeting arrangements, agendas, supporting materials, minutes and action tracking.
  • Assist in coordinating company meetings, management events and other corporate activities.

Business Operations Support

  • Work closely with Finance, HR, Operations and other departments on matters requiring management coordination or follow-up.
  • Facilitate communication between the Group Managing Director and relevant departments to ensure timely execution of decisions and instructions.
  • Assist in identifying and coordinating solutions to operational matters and ensuring issues are followed through to resolution.
  • Support various business and strategic initiatives across the Group as required.

Personal & Confidential Support

  • Provide assistance with selected personal, travel and social arrangements for the Group Managing Director when required.
  • Coordinate family-related appointments, travel arrangements, events and other activities as required.
  • Assist with business dinners, lunches, entertainment arrangements and other social engagements.
  • Handle confidential business, personal and family-related information with the highest level of discretion and professionalism.

Requirements

  • Minimum 2–3 years of relevant experience in Personal Assistant, Executive Assistant, Executive Secretary, Management Assistant or a similar role.
  • Experience supporting a Managing Director, CEO, business owner or senior executive will be an added advantage.
  • Strong organizational, coordination and time-management skills with excellent attention to detail.
  • Excellent communication and interpersonal skills, with the ability to interact professionally with stakeholders at all levels.
  • Strong follow-up, problem-solving and multitasking abilities.
  • Able to work independently, priorities effectively and exercise sound judgement when handling confidential or sensitive matters.
  • High level of integrity, discretion, professionalism and confidentiality.
  • Adaptable and able to work effectively in a fast-paced and demanding business environment, with changing priorities and short-notice requirements.
  • Willing to work additional hours, weekends and public holidays when required.
  • Willing to travel as and when required in support of the Group Managing Director's business, personal and family-related commitments.
