Job Purpose:
The HR Officer provides support in various human resource functions, which include recruitment, staffing, training and development, performance monitoring, and employee counseling. This role also encompasses significant administrative duties to ensure the smooth operation of the office and the maintenance of accurate employee records.
Key Responsibility:
Talent Acquisition & Onboarding
- Manage the full-cycle recruitment process (sourcing, screening, interviewing, and offer negotiation).
- Coordinate seamless onboarding experiences to ensure new hires are integrated into the company culture effectively.
Employee Relations & Engagement
- Serve as a trusted advisor for employee grievances and conflict resolution.
- Organize engagement activities, town halls, and surveys to maintain high morale and a positive work environment.
Performance Management & Training
- Facilitate the annual performance appraisal process and PIP (Performance Improvement Plans).
- Identify training needs and coordinate internal/external workshops for staff development.
- Monitor KPIs and provide reports on workforce productivity.
Compensation, Benefits & Compliance
- Oversee payroll administration and ensure accurate processing of benefits (Social Security, Provident Fund, Health Insurance).
- Maintain and update the Employee Handbook and HR policies to remain compliant with local labor laws.
- Insurance Liaison: Manage the relationship with group insurance providers, processing employee claims and updating the member list for new hires and leavers.
Document & Records Management
- Personnel Files: Maintain and audit physical and digital employee records (contracts, IDs, education certificates, and tax documents) to ensure 100% compliance with audit standards.
- HRIS Ownership: Act as the primary administrator for the HRIS (Human Resource Information System), ensuring all data entry (promotions, transfers, terminations) is real-time and accurate.
- Document Issuance: Prepare formal letters including Employment Certificates, Promotion Letters, Warning Letters, and Termination Notices with legal precision.
- Attendance Tracking: Monitor daily attendance, leave requests (Sick/Annual/Personal), and fingerprint/face-scan records to flag irregularities to department heads.
Office & General Administration
- Visa & Work Permits: Manage the application and renewal process for expatriate employees.
- Office Supplies & Expenses: Oversee the procurement of office stationery, pantry supplies, and HR-related equipment, managing the petty cash and monthly expense reports.
Job Specifications:
- Bachelor’s degree in Human Resources, Business Administration, Psychology, or a related field.
- 1–2 years of proven experience in an HR role (Specialist or Senior Coordinator level).
- Experienced in full loop of expat management
- Technical Skills: Proficiency in HRIS software (e.g., Workday, BambooHR, SAP) and advanced MS Excel.
- Emotional Intelligence: Ability to handle sensitive situations with empathy and confidentiality.
- Communication: Strong negotiation and presentation skills.
- Analytical Thinking: Ability to interpret HR metrics and data to drive decisions.
