DUTIES & RESPONSIBILITIES
- Assist in managing and coordinating daily operation (work flow) activities of the department by ensuring sufficient staff are available in providing services and ensuring completeness of daily work, i.e maintain patient medical record including filing, sorting, processing, colour coding, movement tracking and ensure completeness of clinical documentation of Medical Records Management.
- Supervising scanning team, motivating and evaluating the Medical Records staff while implementing Department policies and procedures.
- Supervise, monitor and coordinate the effectiveness of clerical daily activities and work flow in providing ongoing services for patient care, e.g scanning of medical records and loose notes, etc
- Preparing duty roster and allocating work to personnel working in MRD.
- Checking for duplicate folders or more than one (1) MRN for same patient and perform system and physical folder merging.
- Management of court cases folders e.g page numbering, copying, etc
- Assist to ensure that incomplete medical records are addressed with the appropriate Department for correction or completion.
- Assist to ensure completion and submission of all statutory reports to Ministry of Health reporting requirements including ICD-10, SMRP, Maternal Death, Neonatal Death, Below 5yrs Death, and any other ad-hoc report(s).
- Assist in handling day-to-day administration and troubleshooting as and when required.
- To ensure the completeness or work and sufficient staffing in providing services to other departments.
- Timely preparation of statistical reports and other management reports (monthly. Quarterly, annualy and ad-hoc) as required.
- Updating the technology as per the strategic changes in the organization and the legal and other regulatory requirements.
- Cooperates with interdepartmental personnel, as well as other department within the Facility, to assure that services are properly maintained to meet the needs of the organization.
- Assist in full compliance achievement in external and internal audits i.e Internal Quality Audits, MOH License renewal inspection, ISO, MSQH, ACHS, JCI, etc.
- Assumes the responsibility for the management and training departmental personnel in various functions of the department.
- Follows work assignments and/or schedules in completing and performing tasks, performs all assigned tasks in accordance with established policies and procedures. To carry out all responsibilities professionally and efficiently.
- Ensure medical records are not missing, misplaced and/or unallocated otherwise an “incident” reports are to be made accordingly.
- Thinning, archiving and destruction process to reduce the number of in-active medical records.
- Assist in preparing all the required reports and data for Committee Meeting i.e Medical Records Committee, Form Committee, etc
- Design and maintain forms used hospital wide internal printed forms in the intranet external printed forms via liaising with the vendor, requestor, Procurement Department and Material Management Department.
- Assist in monthly chart review audit and statistic preparation.
- At all times, to maintain strict confidentiality of any information you may become aware of during the course of your duties.
- Enhance professional growth and development through reading of relevant literature, as well as attendance to relevant training programmes (internal & external).
REQUIREMENTS
-Diploma/Degree in Healthcare Management or equivalent
-Certificate in ICD-10 Coding
-Minimum 5 years relevant experience in a tertiary hospital.
Pay: RM4,500.00 - RM5,500.00 per month
