KOLs.Asia is looking for an experienced Human Resources Manager who can take ownership of day-to-day HR operations while contributing to selected people and organisational initiatives.


This is a hands-on HR generalist and people operations role within a fast-moving influencer marketing and digital agency. You will work closely with the Chief Executive Officer, department heads and employees to strengthen HR processes, employee experience, compliance and manager capability.


WHAT YOU WILL BE RESPONSIBLE FOR

HR Operations and HRIS

  • Manage the employee lifecycle, including onboarding, probation, confirmation, transfers, contract renewals and separation.
  • Administer *************, covering employee records, attendance, leave, claims, payroll inputs, letters, reports and user access.
  • Coordinate payroll inputs, salary changes, allowances, benefits, deductions, unpaid leave and claims with Finance or the payroll provider.
  • Coordinate and verify EPF, SOCSO, EIS, PCB/MTD, CP22, CP22A, CP38, EA Form and Form E requirements.
  • Maintain accurate and confidential employee records, organisation charts and HR reports.


Talent Acquisition and Workforce Planning

  • Manage end-to-end recruitment, including job descriptions, sourcing, screening, interviews, assessments, references and offers.
  • Work with hiring managers to define role requirements, salary parameters and hiring timelines.
  • Develop talent pipelines for recurring operational and commercial positions.
  • Monitor recruitment metrics such as time to fill, offer acceptance and probation outcomes.


Employee Relations and Industrial Relations

  • Manage employee concerns, grievances, attendance issues, misconduct and performance matters.
  • Prepare show-cause letters, warning letters and supporting disciplinary documentation.
  • Coordinate domestic inquiries where required and ensure procedural fairness.
  • Escalate termination recommendations, senior-employee cases and complex industrial-relations matters appropriately.
  • Guide managers in resolving workplace issues consistently and professionally.


Performance Management and Development

  • Coordinate onboarding and the 90-day employee journey.
  • Support the implementation of VimiGoal, VimiClass, VimiDiamond and other approved performance-management modules.
  • Guide managers in setting measurable goals, recording evidence and managing performance improvement plans.
  • Coordinate training needs, HRD Corp administration and internal knowledge-sharing activities.


Compliance and HR Governance

  • Administer HR policies, SOPs, employment contracts and approved people practices.
  • Maintain compliance with Malaysian employment legislation, including the Employment Act 1955 and Industrial Relations Act 1967.
  • Prepare employment letters, management reports and HR documentation.
  • Support HR audits, levy administration, due diligence and management or investor reporting.


Office Administration

  • Oversee essential office administration, company assets, employee access, supplies and vendor coordination.
  • Work with Finance, IT support, building management and external providers to resolve operational matters.


WHAT WE ARE LOOKING FOR

Essential requirements

  • Bachelor’s degree in Human Resources, Human Resource Management, Business Administration, Psychology, Management or an equivalent discipline.
  • At least seven years of progressive HR generalist experience.
  • At least two years in a managerial, supervisory or team-lead capacity.
  • Hands-on experience managing HR operations, employee relations, recruitment, payroll coordination and statutory administration.
  • Working knowledge of *************, including leave, attendance, claims, employee records and payroll-related processes.
  • Sound understanding of Malaysian employment and industrial-relations practices.
  • Strong written and spoken English and Bahasa Malaysia.
  • Comfortable working independently in a fast-paced and evolving business environment

Added advantages

  • Experience in a startup, SME, marketing agency, digital business, influencer marketing or project-based environment.
  • CIPD, SHRM, AIHR or MIHRM certification or professional membership.
  • Experience with Google Workspace, Asana, DocuSign or similar workflow tools.
  • Exposure to HR digitalisation, performance-management platforms, automation or responsible use of AI in HR.


THE PERSON WHO WILL SUCCEED IN THIS ROLE

You are operationally disciplined, approachable and comfortable handling sensitive employee matters. You can give managers practical HR advice, maintain clear professional boundaries and recognise when an issue requires management or legal escalation. You should be able to balance employee fairness, legal compliance and business requirements without losing accuracy or follow-through.
