Job Description

Responsibilities

Key Responsibilities

Workshop Control Room Operations

  • Monitor and update the status of GSE assets undergoing maintenance and repair.
  • Maintain control room logs, maintenance records, and workshop operational data.
  • Support daily workshop planning by updating job status and maintenance schedules when required.
  • Ensure maintenance and operational information is updated promptly in relevant systems.

Administrative Support

  • Prepare and maintain maintenance records, inspection reports, service documentation, and equipment history files.
  • Ensure all workshop documentation is accurately recorded, updated, and filed.
  • Support audits and compliance reviews by ensuring documentation is complete and up to date.
  • Maintain accurate data in maintenance management and ERP systems.

Procurement Administration

  • Raise Purchase Requisitions for workshop operational requirements.
  • Process Goods Receipts (GR) upon receipt of goods and services.
  • Verify supporting documentation for Purchase Requisitions and Goods Receipts transactions.
  • Maintain accurate procurement and receiving records.
  • Liaise with internal departments to ensure timely processing of procurement-related transactions.
  • Safety & Compliance
  • Support documentation for safety inspections, audits, and compliance requirements.
  • Ensure records are audit-ready and readily accessible when required.
  • Adhere to workplace safety policies and procedures within the workshop environment.
  • All other duties assigned by the Manager

Requirements

Education

  • GCE 'O' Level, NITEC, Higher NITEC, or equivalent qualification.
  • Candidates with relevant work experience are encouraged to apply.
  • Experience
  • Prior experience in administrative, operations support, workshop administration, or service support roles is preferred.
  • Experience in an engineering, maintenance, aviation, logistics, fleet management, or workshop environment will be an advantage.
  • Fresh candidates with a positive attitude and willingness to learn may be considered.

Skills & Competencies

  • Proficient in Microsoft Office applications, particularly Excel, Word, and Outlook.
  • Good organizational and record-keeping skills.
  • Strong attention to detail and accuracy.
  • Ability to perform data entry and maintain documentation effectively.
  • Good communication and interpersonal skills.
  • Ability to multitask and work under tight timelines.
  • Familiarity with SAP or other ERP/Maintenance Management Systems will be an advantage.
  • Able to work independently and as part of a team.

Key Performance Indicators (KPIs)

  • Timely and accurate work order updates.
  • Accuracy of workshop records and documentation.
  • Timely processing of Purchase Requisitions and Goods Receipts.
  • Accuracy and timeliness of operational reports.
  • Compliance with documentation and audit requirements.
  • Accuracy of control room data and maintenance status updates.
