Job Summary
The HR & Admin Executive is responsible for supporting the company’s daily human resource and administrative operations. The role covers payroll processing, statutory compliance, employee records, recruitment, foreign-worker administration and general office management. The successful candidate must be organised, trustworthy and capable of handling confidential information accurately.
Key Responsibilities
1. Payroll and Attendance
- Process monthly payroll accurately and within the required timeline.
- Verify attendance, overtime, leave, allowances, commissions and deductions.
- Maintain payroll records and respond to employees’ payroll-related enquiries.
- Prepare payroll reports for management review.
- Ensure employee information is updated accurately in the payroll system.
2. Statutory Compliance
- Prepare and submit statutory contributions, including EPF, SOCSO, EIS, PCB and HRD Corp levy.
- Ensure all statutory payments and submissions are completed before their deadlines.
- Maintain proper statutory records and assist with audits or inspections.
- Keep updated with changes to Malaysian employment laws and statutory requirements.
3. Foreign-Worker Administration
- Manage foreign workers’ employment documentation and personnel records.
- Coordinate work permit and passport renewals, FOMEMA medical examinations, insurance and other regulatory requirements.
- Monitor permit expiry dates and ensure renewals are completed on time.
- Liaise with relevant government departments, agencies and appointed service providers.
- Assist with foreign-worker accommodation and welfare matters when required.
4. Recruitment and Employee Administration
- Coordinate job advertisements, candidate screening and interview arrangements.
- Prepare employment letters, confirmation letters, transfer letters and other HR correspondence.
- Manage employee onboarding and exit processes.
- Maintain complete and confidential employee personnel files.
- Update employee information and movement records promptly.
5. Leave, Benefits and Employee Relations
- Administer employee leave, medical benefits and other employment benefits.
- Respond professionally to employees’ HR-related questions.
- Assist in disciplinary matters, performance management and employee engagement activities.
- Support the implementation of company policies and HR procedures.
6. Office Administration
- Manage general office administration and ensure smooth daily operations.
- Coordinate office supplies, maintenance, service providers and administrative records.
- Maintain proper filing of contracts, licences, correspondence and company documents.
- Support meetings, company events and other management requirements.
- Perform other HR and administrative duties assigned by management.
Qualifications and Experience
- Diploma or Bachelor’s Degree in Human Resources, Business Administration, Management or a related field.
- Minimum three years of relevant working experience in HR and administration.
- Hands-on experience in payroll processing and statutory submissions.
- Experience in managing foreign-worker documentation and administration.
- Good understanding of Malaysian employment legislation and HR practices.
- Experience using a payroll or HR management system is required.
- Proficient in Microsoft Office, particularly Excel, Word and Outlook.
- Good command of English and Bahasa Malaysia, both written and spoken.
