Job Summary
The Clinic Assistant is responsible for supporting the doctor and clinic team in delivering efficient, courteous, and high-quality patient care. The position includes handling patient registration, appointments, basic clinical support, medical documentation, billing, inventory management, and general clinic operations.
Key Responsibilities
- Welcome patients and assist with registration, check-in, and patient flow.
- Attend to telephone calls, WhatsApp messages, and patient enquiries in a polite and professional manner.
- Manage patient appointments, including scheduling, confirmation, and rescheduling.
- Collect and update patient information and record vital signs when required.
- Provide assistance to doctors during consultations, examinations, and minor procedures.
- Ensure consultation rooms are clean, organised, and properly equipped before and after each consultation.
- Carry out basic clinical support duties according to training, clinic procedures, and established SOPs.
- Prepare and dispense medications as instructed and supervised by the attending doctor, where applicable.
- Update and maintain patient records accurately while ensuring strict confidentiality.
- Manage billing and payment collection, issue receipts, and assist with daily cash and transaction reconciliation.
- Assist with medical claims, insurance documentation, TPA submissions, and company panel-related matters when required.
- Check and monitor stocks of medicines, medical supplies, and clinic consumables and report shortages promptly.
- Maintain cleanliness, hygiene, and appropriate infection-prevention practices within the clinic.
- Perform general administrative duties such as filing, data entry, documentation, and preparation of clinic reports.
- Adhere to clinic policies, SOPs, workplace safety procedures, and relevant Malaysian healthcare requirements.
- Communicate with patients and their family members in a respectful, friendly, and professional manner.
- Provide appropriate assistance during medical emergencies in accordance with clinic procedures and level of training.
- Undertake any other duties and responsibilities assigned by the doctor or clinic management from time to time.
Requirements
- Minimum SPM qualification.
- Previous experience working in a GP clinic, medical centre, hospital, or healthcare environment will be an advantage.
- Strong communication and interpersonal skills.
- Good command of Bahasa Malaysia and English, both spoken and written.
- Basic computer knowledge; experience using clinic management or healthcare software is an added advantage.
- Friendly, caring, responsible, and service-oriented with a positive attitude.
- Able to work effectively both independently and as part of a team.
- Willing to work according to the clinic's roster, including shifts, weekends, public holidays, and extended hours when required.
- Responsible and trustworthy in handling confidential patient and clinic information.

Working Conditions
The Clinic Assistant will work according to the clinic's operating schedule and may be required to work rotating shifts, weekends, public holidays, and extended working hours, depending on operational requirements.

Pay: RM1,700.00 per month
