Job Description

Responsibilities

Reporting to the Director of Sport, the Sports Community Manager is responsible for the development, organisation, coordination and promotion of sports and wellness programmes, events and community activities across the Club.

The role combines the strong coordination and member-facing responsibilities of the Sports function with an increased focus on growing participation, developing programmes, strengthening sports communities and creating new opportunities for members to get involved.

Working closely with the Director of Sport, Head Coaches, external instructors and programme partners, members and internal teams, the role ensures programmes and events are well organised, effectively communicated and continuously developed in response to member needs.

The Sports Development & Community Manager will be a visible and approachable presence around the Club, building relationships with members and helping turn ideas and feedback into practical initiatives.

Key Responsibilities

1. Sports Programme Development & Coordination

o Plan, organise and coordinate sports and wellness programmes and activities across all relevant disciplines.

o Manage programme schedules, calendars, registrations and operational coordination.

o Work with the Director of Sport, Head Coaches, instructors and programme partners to support effective programme delivery.

o Identify opportunities to increase participation and improve existing programmes based on member demand, participation levels and feedback.

o Identify gaps within the Sports offering and propose new programmes, formats or activities for consideration by the Director of Sport.

o Support the development of opportunities across junior, adult, recreational, social and competitive sport.

o Help create clear opportunities for members to start, participate, improve and progress within different sports.

o Support the introduction and launch of approved new sports and wellness initiatives.

o Monitor programme participation, utilisation and member feedback and recommend improvements.

2. Sports Community & Member Engagement

o Build strong relationships with members and foster a welcoming, inclusive and active Sports community.

o Act as a key point of contact for members regarding Sports programmes, activities and events.

o Be visible around the Sports facilities and proactively engage with members.

o Develop initiatives that encourage members to meet, play and connect through sport.

o Help new members and less experienced players find suitable activities and integrate into existing Sports communities.

o Build relationships with team captains, ambassadors, volunteers and other active members who can help strengthen Sports communities.

o Encourage interaction between different sports, age groups and member communities.

o Understand member needs, motivations and barriers to participation and identify practical opportunities for improvement.

o Handle member enquiries, feedback and minor issues professionally and in a timely manner, escalating significant matters to the Director of Sport where appropriate.

o Encourage members to become active participants in the wider Club community rather than simply users of Sports facilities.

o This expands meaningfully on the January JD, which already required the role to act as a key member contact, build relationships and foster an inclusive sports community.

3. Events, Competitions & Social Activities

o Plan, organise and coordinate Sports events, competitions, leagues, tournaments, clinics, workshops and social activities.

o Develop a forward-looking annual calendar of Sports activities in consultation with the Director of Sport.

o Support the delivery of major Hollandse Club Sports tournaments and events.

o Develop new event concepts and formats that encourage participation and community engagement.

o Coordinate event logistics, registrations, coaches, volunteers, suppliers and relevant internal departments.

o Ensure events and programmes run smoothly and meet Hollandse Club standards.

o Support external competitions, interclub activities and opportunities for members to represent Hollandse Club.

o Gather participation data and member feedback following events and recommend improvements.

o This preserves the practical event coordination responsibility from the January role rather than moving the position too far towards strategy.

4. Holiday Sports Camps

o Develop and coordinate the Club's holiday Sports camp offering, working with coaches and external providers to create a varied, high-quality and commercially sustainable programme.

o Plan the annual camp calendar around school holidays, member demand, facility availability and the wider Club calendar.

o Coordinate registrations, schedules, providers and communication for camp programmes.

o Monitor participation, capacity, group sizes, age groups, programme quality, pricing, member feedback and financial performance.

o Identify opportunities to expand and improve the camp offering through new activities, formats, age groups and providers.

o Ensure appropriate staffing, supervision, safeguarding and operational requirements are in place.

o Coordinate with Marketing to ensure camps are promoted sufficiently in advance.

o Ensure camps provide a consistently high standard of organisation, safety, communication and member experience.

o Review the performance of camps and recommend improvements to the Director of Sport.

5. Sports Marketing & Communications

o Act as the main day-to-day Sports contact for the Marketing team.

o Ensure Marketing receives timely and accurate information about programmes, events, competitions, camps and new initiatives.

o Maintain a forward-looking Sports communications calendar in coordination with Marketing.

o Communicate clearly and proactively with members regarding schedules, registrations, updates and programme changes.

o Identify opportunities to showcase Sports through member stories, sporting achievements, coach profiles, events and community activity.

o Provide content and information for Club communications, email, WhatsApp, social media and other relevant channels.

o Support promotional campaigns designed to increase awareness and participation in Sports programmes and events.

o Ensure members can easily understand what Sports opportunities are available and how they can participate.

6. Coaches, Instructors & Programme Partners

o Work closely with Head Coaches, instructors and programme partners to support high-quality programme delivery.

o Coordinate programme information, schedules and member communication to enable coaches and instructors to focus on delivery.

o Support the onboarding and coordination of external instructors and service providers.

o Maintain regular communication with providers regarding participation, programme quality and member feedback.

o Identify programme or service issues and work with the Director of Sport and provider to address them.

o Support cross-sport collaboration and opportunities to connect different Sports programmes.

7. Partnerships & External Opportunities

o Identify potential sporting partnerships, collaborations and external opportunities that could add value to members.

o Support the Director of Sport in developing relationships with sporting organisations, academies, other clubs, brands and community partners.

o Coordinate approved partner-led Sports initiatives and activations.

o Support inter-club leagues, competitions and other external sporting opportunities.

o Assist with sponsor and partner activations at Sports events where required.

8. Administration, Reporting & Operations

o Manage registrations, attendance tracking, programme information and general Sports administration.

o Maintain accurate programme, event and participation records.

o Support scheduling and effective use of Club booking and Sports management systems.

o Track participation, utilisation and engagement and provide regular updates to the Director of Sport.

o Monitor the performance of assigned programmes, events and camps, including relevant revenue and direct costs.

o Support basic budgeting, invoicing, purchasing and supplier coordination.

o Coordinate with other Club departments to ensure effective delivery of Sports initiatives.

o Ensure Club policies, safety standards, safeguarding and child-protection requirements are followed.

o Contribute to the continuous improvement of Sports operations and member experience.
